Job Summary
The Membership Associate is part of a dynamic guest and donor-centered team facilitating membership and volunteer activities for the Jones Center/Jones Trust entities. The position supports membership database record keeping and reporting monthly processes and payment collection and other activities designed to bolster community relationships and move the organization to a new level of service to the region.
The Membership Associates primary duties are entering/retrieving data and maintaining membership records in the CRM database (60%) facilitating membership outreach and customer service emails and phone calls including monthly collections and auto-renewal processes (30%) and assisting with other duties as assigned (10%). Ideal candidates will be fluent in Spanish and English. They will be detail-oriented and self-motivated. They will enjoy working collaboratively and be open to change. They will be able to provide exceptional customer service and value a high degree of accuracy in record keeping and reporting.
Main Responsibilities
- Record data and maintain member records on a daily basis ensuring proper and consistent data entry and maintaining a high level of data integrity
- Facilitate the monthly installment billing credit card balance collections as well as all steps related to renewal auto-renew and monthly membership payments.
- Follow-up and communicate with members via phone calls emails and in-person regarding billing issues financial transactions and general questions while maintaining confidentiality
- Support the Guest Services team in resolving customer service issues with guests and members; may be requested to fill in at the Welcome Desk as needed.
- Assist with Guest Services trainings in membership processes.
- Monitor incoming data from web services and guest services ensuring information is processed timely and accurately.
- Participate in collaborating on membership strategies including research to identify best practices and membership program database coordination and reporting.
- Possess an interest in exploring how AI can create efficiencies for the department.
- Track workflow of data entry and batching for membership acquisitions and renewals.
- Audit database regularly for accuracy in reporting
- Work with Accounting to audit and reconcile development and membership reports
- Assist with membership and volunteer event needs including but not limited to tracking RSVPs and maintaining project spreadsheets.
- Other duties as assigned.
Minimum Qualifications
Required Skills and Abilities
- Fluent language skills (Spanish and English required).
- A motivated and enthusiastic team player with excellent attention to detail and customer service.
- Database experience relating to entering and reporting on data.
- Ability to prioritize tasks and delegate them when appropriate.
- Strong understanding and adherence to fundraising ethics and demonstrates a high level of confidentiality as it relates to donor and member records.
- Proficient with Microsoft Office (especially Excel) and managing client relationship databases and related software.
Education Training and Experience
- An Associates degree or equivalent experience.
- Excellent interpersonal verbal and written communication skills.
Physical Requirements
- Ability to remain stationary occasionally standing or sitting for prolonged periods.
