Key Responsibilities:
Schedule Management:
Organizing and prioritizing appointments meetings and travel itineraries for executives.
Communication:
Managing emails phone calls and correspondence acting as a point of contact for internal and external stakeholders.
Meeting Coordination:
Scheduling and organizing meetings conferences and video calls including preparing agendas and taking minutes.
Document Preparation:
Creating and editing reports presentations and other documents often requiring strong writing and communication skills.
Travel Arrangements:
Booking flights accommodations and transportation and creating detailed travel itineraries.
Confidentiality:
Handling sensitive information with discretion and maintaining confidentiality.
Project Support:
Assisting with special projects conducting research and providing support for decision-making processes.
Office Management:
May be involved in overseeing office operations and supervising other administrative staff.
Relationship Management:
Building and maintaining relationships with internal and external stakeholders.
Expense Management:
Tracking and managing expenses preparing expense reports and ensuring financial compliance.
Event Planning:
Organizing and coordinating corporate events both on and off-site.
Required Skills and Qualifications:
Proven experience as an Executive Assistant or similar role.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Ability to handle confidential information with discretion.
Problem-solving and decision-making abilities.
Attention to detail and strong interpersonal skills.
Ability to work independently and as part of a team.
Bachelors degree in Business Administration Communications or a related field is preferred.
