Job Description

We have an opening for a Regional Recruitment Planning Associate for both of our Chicago area sites in Ravenswood and Andersonville!

The Recruitment Planning Associate identifies and schedules eligible patients for clinical trials by mining EMR data across the Midwest region including previously screen-failed individuals. This role blends patient engagement data analysis and collaboration with clinic partners to drive enrollment success. A clinical research background is required along with strong communication skills and proficiency in CRM/CTMS tools.

Shift: Monday-Friday 8:30 AM - 5 PM
Location:1945 W Wilson Ave Suite 600 Chicago IL 60625 - will also support our Andersonville site
Compensation: $60000 base salary

RESPONSIBILITIES

  • Represent the organization in a professional and courteous manner when interacting with clinic staff patients and partners.
  • Collaborate with clinics and physician practices across the Midwest to align on recruitment goals and patient engagement strategies.
  • Review EMRs to identify potential participants including screen-failed patients eligible for other or ongoing studies.
  • Conduct proactive outreach to identified patients via phone email and in-person visits to schedule research screenings.
  • Provide a white glove experience by meeting and greeting potential participants in partnering clinics.
  • Convert eligible patients into scheduled screening visits ensuring all pre-visit requirements are met.
  • Maintain accurate tracking of patient records in compliance with HIPAA and organizational policies.
  • Monitor and report metrics related to screen-fail conversions and new patient enrollments.
  • Coordinate closely with the PRAM team to align data insights and recruitment strategies.
  • Work with site operations to ensure seamless handoffs and onboarding for study participants.
  • Build strong relationships with clinic staff acting as a reliable point of contact for patient referrals.
  • Uphold all regulatory and ethical guidelines related to patient data consent and EMR access.
  • Conduct audits of data-mining activities to ensure accuracy and compliance.
  • Document all outreach and scheduling efforts using CRM/CTMS tools.
  • Analyze patient conversion trends to improve recruitment tactics and scheduling efficiency.
  • Participate in ad hoc projects events and initiatives as assigned by management.
QUALIFICATIONS
  • Bachelors degree required.
  • Minimum of 1 year of experience in clinical research.
  • Strong knowledge of clinical research methods and regulatory compliance.
  • Excellent communication skills both verbal and written.
  • Fluent in Spanish preferred but not required
  • Proficient in Microsoft Office 365 and clinical software systems (e.g. CRM/CTMS).
  • Demonstrated ability to collaborate effectively across departments and with external partners.
  • Skilled in problem solving risk assessment and process improvement.
  • Strong organizational skills with the ability to multitask and prioritize competing demands.
  • Capable of thinking independently and influencing others when appropriate.
  • Experience writing or reviewing Standard Operating Procedures (SOPs) preferred.
  • Flexible self-motivated and able to adapt in a dynamic work environment.
  • Ability to travel as required and lift up to 35 pounds.
  • Valid drivers license and access to a vehicle required.
