This role supports the full lifecycle of institutional funding-from identifying opportunities to managing reporting and compliance-while serving as a key internal liaison between programs finance and external partners. Youll help ensure our proposals are compelling our reporting is on time and our systems (especially our case management database Apricot) are set up for success.

What Youll Do
Grant and Contract Lifecycle Management
- Identify local state federal and foundation funding opportunities that align with our mission and program goals.
- Collaborate with the Community Development Manager and grant writers to develop edit and submit contact and grant proposals-especially for municipal and foundation opportunities.
- Maintain internal systems to track all awarded government contracts and grants; including the scopes timelines and funder reporting requirements.
- Lead cross-departmental meetings to review deliverables support compliance and monitor spending.
- Collaborate to submit accurate timely monthly quarterly and annual narrative and financial reports for numerous government contracts and grants; including writing narratives derived from information and summaries from other team members.
- Support funder stewardship through personalized communications impact updates and success stories.
- Ensure all proposal and reporting materials are submitted in a timely complete and compliant manner.
Cross-Functional Collaboration & Internal Coordination
- Provide guidance to program and finance teams on funder expectations allowable expenses deliverables and timelines.
- Draft and manage MOUs subrecipient agreements and vendor contracts tied to grants.
- Initiate and coordinate funder-approved scope or budget modifications when needed.
- Communicate clearly and consistently with the community development office and leadership about progress and upcoming deadlines.
Data Systems and Reporting (Apricot Lead)
- Serve as the internal point person for Apricot case management software.
- Build and maintain forms workflows and user permissions that support accurate data collection for grant and contract reporting.
- Train staff troubleshoot technical issues and promote clean and consistent data entry across the agency.
- Export data and prepare reports aligned with funder and agency reporting needs.
What You Bring
- Education and/or experience equivalent to a bachelors degree and 2 years in grant writing contract administration or nonprofit program compliance.
- Strong attention to detail project coordination and writing skills.
- Experience managing deadlines and deliverables across departments.
- Familiarity with cloud-based systems and collaborative tools (e.g. Microsoft Office Google Suite shared drives).
- Ability to work independently while fostering cross-functional alignment.
- Valid AZ drivers license auto insurance and the ability to obtain:
- Level 1 Fingerprint Clearance
- Negative TB Test
- CPR/First Aid Certification
- (Support provided during onboarding if needed.)
Preferred
- Bachelors or Masters degree in Public Administration Nonprofit Management or related field.
- 3 years managing public and private grants totaling $1M.
- Familiarity or proficiency with Social Solutions Apricot software.
- Bilingual English/Spanish.
Physical Demands
Typical office environment with regular use of a computer. Occasional lifting (up to 25 lbs) bending standing sitting and driving may be required.
