Job Purpose
The Stores and Inventory Assistant will be responsible for supporting day-to-day inventory and store operations. This includes assisting in material receiving dispatch data entry and reporting. The role ensures that inventory records are up-to-date in record and in physical stock and that materials flow efficiently to meet operational needs.
Key Responsibilities
1. Inventory Management
- Conducting daily inventory checks and updating stock records in liaison with the Inventory Officer..
- Maintain accurate and up-to-date inventory data in both physical and ERP systems.
- Arrange label and organize materials for easy retrieval and visual control.
- Support the application of inventory best practices such as FIFO and 5S.
2. Receiving and Dispatch
- Receive and inspect incoming goods to verify quantity and quality against delivery documents.
- Prepare package and document materials for dispatch.
- Coordinate with suppliers drivers and internal teams to resolve delivery or dispatch issues.
- Ensure proper handling lifting and safe placement of materials during loading and offloading.
3. Order Processing and Procurement Support
- Liaise with the procurement team in generating purchase orders and tracking order progress.
- Monitor stock levels and help initiate reorders based on stock thresholds.
- Ensuring timely availability and movement of materials for internal users whenever requested.
4. Data Entry and Inventory Reporting
- Ensure accurate entry and updating of stock data in the inventory management system or ERP.
- Generate reports such as:
- Material usage summaries
- Stock level and low stock alerts
- Return and requisition reports
- Carry out regular stocktaking exercise and reconcile the physical stock with ERP records.
- Compile data to support inventory forecasting and planning.
5. Material Handling and Store Operations
- Ensure proper handling lifting and movement of materials using manual or mechanical means as required.
- Ensure good housekeeping by maintaining cleanliness orderliness and safety in the store area.
- Support compliance with company store policies and procedures.
- Ensure maintenance of accurate and well-organized store records and documentation.
6. Cross-Department Collaboration
- Maintain seamless communication with departments such as procurement operations and projects to understand material needs.
- Coordinate material availability confirmation and prompt response to requisition queries.
- Liaise with procurement department to resolve stock or supply related issues that may impact project timelines.
Qualifications :
Qualifications and Experience Requirements
- Diploma or Degree in Procurement Supply Chain Management Logistics or a related field.
- Minimum KCSE grade of B or above
- Minimum of 3 years of experience in a storekeeping or inventory support role preferred.
- Ability to handle and lift materials safely and efficiently.
- Certification in inventory management is an added advantage.
Skills & Competencies
- Strong knowledge of inventory management principles and best practices.
- Basic knowledge of ERP or inventory management systems.
- Tech-savvy with solid experience in spreadsheets and inventory tools.
- Proficient in Microsoft Office Suite (especially Excel) Word and Outlook.
- Excellent data entry and record-keeping accuracy.
- Strong analytical organizational and time-management skills.
- Effective communication and teamwork abilities.
- Willingness to learn proactive attitude and physical stamina (some lifting and standing required).
