Job Description

Job Title: Full-Time Secretary
Job Type: Full-Time
Location: Williamsburg

About the Position

We are looking for a reliable and detail-oriented Secretary to support the daily administrative operations of our growing construction company. The ideal candidate will have excellent organizational skills strong customer service abilities and a working knowledge of construction-related terminology. This role is essential in maintaining smooth communication across departments and with external partners.

Key Responsibilities

Office Administration

  • Manage daily office operations and ensure a clean professional environment

  • Organize and maintain both physical and digital filing systems

  • Prepare edit and format documents reports and presentations

  • Take and distribute meeting minutes

  • Coordinate incoming and outgoing mail and deliveries

  • Maintain office supply inventory and place orders as needed

Communication & Coordination

  • Act as the primary point of contact for calls emails and visitors

  • Schedule meetings appointments and travel for staff

  • Liaise with clients contractors suppliers and internal departments

  • Assist with customer inquiries and provide professional support

Construction-Specific Support

  • Prepare and manage construction-related documents and permit applications

  • Support project teams in meeting deadlines and tracking key deliverables

  • Maintain up-to-date records on ongoing construction projects

  • Assist with database and CRM system updates

Required Qualifications

  • High school diploma or equivalent (Associates degree preferred)

  • Minimum 2 years of experience in an administrative or secretarial role

  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint)

  • Strong written and verbal communication skills

  • Ability to handle confidential information with discretion

  • Excellent multitasking prioritization and problem-solving skills

  • Familiarity with construction industry terms and operations is a strong advantage

Preferred Qualifications

  • Bachelors degree in Business Administration or a related field

  • Experience in the construction or real estate industry

  • Familiarity with construction management software (e.g. Procore Buildertrend)

  • Understanding of basic accounting and invoicing principles

  • Experience using CRM or database management systems
