Job Title: Full-Time Secretary

We are looking for a reliable and detail-oriented Secretary to support the daily administrative operations of our growing construction company. The ideal candidate will have excellent organizational skills strong customer service abilities and a working knowledge of construction-related terminology. This role is essential in maintaining smooth communication across departments and with external partners.
Office Administration
Manage daily office operations and ensure a clean professional environment
Organize and maintain both physical and digital filing systems
Prepare edit and format documents reports and presentations
Take and distribute meeting minutes
Coordinate incoming and outgoing mail and deliveries
Maintain office supply inventory and place orders as needed
Communication & Coordination
Act as the primary point of contact for calls emails and visitors
Schedule meetings appointments and travel for staff
Liaise with clients contractors suppliers and internal departments
Assist with customer inquiries and provide professional support
Construction-Specific Support
Prepare and manage construction-related documents and permit applications
Support project teams in meeting deadlines and tracking key deliverables
Maintain up-to-date records on ongoing construction projects
Assist with database and CRM system updates
High school diploma or equivalent (Associates degree preferred)
Minimum 2 years of experience in an administrative or secretarial role
Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint)
Strong written and verbal communication skills
Ability to handle confidential information with discretion
Excellent multitasking prioritization and problem-solving skills
Familiarity with construction industry terms and operations is a strong advantage
Bachelors degree in Business Administration or a related field
Experience in the construction or real estate industry
Familiarity with construction management software (e.g. Procore Buildertrend)
Understanding of basic accounting and invoicing principles
Experience using CRM or database management systems
Detail-Oriented:
Reviews work for accuracy before submission
Maintains organized documentation systems
Proactively follows up on tasks and timelines
Customer Service-Focused:
Maintains a positive and professional demeanor in all interactions
Responds to inquiries and resolves issues in a timely helpful manner
