Job Description

The Division Administrator is the business leader responsible for managing the administrative strategic operational and financial functions for Division(s) within the Department of collaboration with the Division Head and other physician and administrative leaders develops coordinates and implements vision and direction goals and activities across the pillars of clinical care teaching research and advocacy that achieves maximum measurable impact and ensures compliance.

STRATEGY

  • Partners with Department and Division Leadership teams to develop the strategic plan and corresponding budget for the Division consistent with the organizations goals and mission.

  • Responsible for leading the preparation of market financial and operational analyses and business plans in collaboration with the appropriate surgical and ambulatory directors clinic managers and financial services staff. Ensures strategic allocation and alignment of resources to support the needs of the division and return on investments in the program.

  • Responsible for implementation of the Divisions strategic plan in collaboration with Department Leadership Division Leadership Ambulatory and Nursing Leadership as well as other hospital and medical group leaders.

  • Collaborate with Department of Surgery Marketing Team and Physician Services to ensure all marketing materials digital presence and outreach efforts are aligned with divisions strategic vision and plan.

OPERATIONS

  • Responsible for management of the day-to-day operations of the administrative academic clinical and research activities for the divisions.

  • Manage OR block schedules including OR block assignments site deployment utilization review and throughput optimization.

  • Surgery/procedural authorization process management partnering with RIMS admitting services social services and case management.

  • Oversight of supply chain purchasing approvals and tracking (i.e. optical shop cast room Cochlear Implant).

  • Manages the day-to-day activities of direct reports through various human resources activities including staffing scheduling recruitment/selection orientation and training and employee performance evaluation and management development and retention. Ensures staff performance exemplifies the Lurie Childrens core values.

  • The authority to hire separate promote demote write and administer performance evaluations.

  • Partners with Division Leadership to manage the education training programs within the Division including the fellowship program. This will include the management of medical education coordinators preparation of reports to Northwestern University and the ensuring sustainable financial support of trainees within the Division.

  • Facilitates the successful recruitment and onboarding of new faculty to the Division Department and Hospital.

  • Ensures that all applicable medical group regulatory and accreditation requirements are met. Participates in the communication of policies and procedures.

  • Leads the implementation of institutional initiatives in their respective areas of responsibility. Serves as a representative for the Department of Surgery on medical center initiatives and committees.

  • Work queue (WQ) management including Surgery authorization/certification Peer to Peer review (denials WQ) Decision trees office visit follow up.

  • Administrative operational financial and contractual oversight of non-Lurie Childrens partner sites

  • Develop Surgeon on Service and On Call schedules.

  • Participate in off hours responsibilities including Surgery Executive Management Meeting Clinical Practice Director Meeting LCSF Budget/Finance Meeting LCSF Revenue Cycle Meeting Division Faculty Meetings.

FINANCIAL MANAGEMENT

  • Responsible for development and management of division and program operating and capital budgets in collaboration with Department Leadership Division Leadership Finance Ambulatory and Nursing Leadership and Principle Investigators.

  • Responsible for keeping the Division Leadership and Department Leadership teams routinely informed and in a timely fashion on activity and financials. Develops and implements appropriate responses to identified issues as well as opportunities for improved performance and financial return.

  • Responsible for management of the Division(s) research grant portfolio ensuring compliance with funding source regulations and monitoring requirements. Partners with the Stanley Manne Childrens Research Institute leadership and research administration teams to oversee new grant budget development faculty effort reports research staff template management and invoicing.

  • Responsible for management of the philanthropic portfolio ensuring proper stewardship in line with donor intent and alignment with department and medical center strategic priorities and goals and medical center finance policies. Forecasts the needs of the program collaborates with the Foundation in the preparation and stewardship of philanthropic proposals/awards and ensures sound investment of these resources.

  • Partners with the leadership of the Business Operations & Analytics and Professional Billing Coding and Compliance teams in collaboration with the Division Leadership team to identify opportunities to maximize professional billing revenue. Works with Division Leadership to ensure associated changes in practice are adopted in a timely manner.

  • Partners with the leadership of Business Analytics to review MD productivity and conduct wRVU analyses to identify opportunities to maximize surgical revenue and optimize surgeon cFTE.

  • Partners with RIMS and Denials Task Force to conduct monthly revenue cycle analysis of surgical/procedural services insurance claims.

  • Conduct new MD and APP quarterly business plan look back assessments.

Knowledge Skills & Abilities

  • Bachelors Degree with 3-5 years healthcare operations management experience required. Masters Degree preferred.

  • Demonstrated leadership skills. Ability to lead and influence change change management.

  • Strong analytical ability; ability to understand and interpret financial data; solid quantitative and qualitative skills.

  • Ability to communicate effectively in a leadership role with clinical business and administrative staff. Strong customer service skills.

  • Experience in performance improvement operational improvement change management.

  • Exceptional verbal and written communications skills.

  • Academic practice experience highly preferred.

$99840.00-$164736.00 Salary

At Lurie Childrens we are committed to competitive and fair compensation aligned with market rates and internal equity reflecting individual contributions experience and expertise. The pay range for this job indicates minimum and maximum targets for the position.
