Job Description

Primary Purpose:

Assist the Director of Multilingual Programs in daily operations maintaining and managing budgets placing and processing purchase orders and clerical services.

Qualifications:

Education/Certification:

High School Diploma or GED

Special Knowledge Skills:

Proficient skills in typing word processing bookkeeping and file maintenance

Effective communication and interpersonal skills

Ability to use personal computer and software to develop spreadsheets and databases and do word processing

Demonstrate the ability to handle multiple tasks at the same time and deal with timelines

Telephone skills computer organization and calendar management.

Fluent in reading and writing in Spanish

Minimum Experience:

One to three years of secretarial experience preferably in public education environment

Major Responsibilities and Duties:

  1. Prepare written correspondence forms schedules or reports using personal computer.
  2. Prepare instructional materials meeting agendas and program communication as requested using personal computer.
  3. Maintain program calendar of events.
  4. Meet deadlines provided by the program director for records reports correspondence and communication.
  5. Assist campus staff and parents as needed.
  6. Receive incoming calls take reliable messages and route to appropriate staff.
  7. Maintain physical and computerized files including mailing lists student records and office communication.
  8. Update handbooks policy manuals and other documents as assigned.
  9. Receive store and issue supplies and equipment.
  10. Maintain inventory of fixed assets equipment program materials and supplies.
  11. Sort distribute or deliver mail and other documents.
  12. Maintain confidentiality.
  13. Maintain professionalism in dress punctuality and interpersonal communication.
  14. Exercise time management.

Personal computer calculator printer copier and multi-line phone

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling twisting standing climbing bending kneeling and reaching

Motion: Frequent walking repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel.

Mental Demands: Work with frequent interruptions; maintain emotional control under stress;

frequent prolonged and irregular hours.
