Administrative Assistant/Receptionist
Location: Washington DC
HOW YOU WILL IMPACT THE BIG PICTURE:
As the first point of contact the Administrative Assistant/Receptionist is responsible for providing a professional and welcoming experience for all guests and visitors to the DC office. Responsibilities include greeting and announcing visitors maintaining various databases and tracking systems and general administrative duties. This position supports the Human Resources Manager DC office staff and EWTN News departments with administrative items to ensure an efficient and smooth-running office.
WHAT YOU WILL DO:
- Greet all visitors to the office including vendors clients and talent/show guests; maintain professional presentation in Reception areas; provide coverage for the front desk at all times.
- Provide support to Human Resource Manager on a variety of administrative tasks such as preparing New Hire Orientations schedules and materials maintaining various databases coordinating complex meetings with internal and external clients creating attractive invitations and office flyers and accurately maintaining paper and electronic files.
- Maintain the Reception Desk Reference Manual; update process procedure and contact information as needed.
- Work with EWTN News Internship Program team to develop coordinate communicate and execute logistical details related to seasonal internship programs in the DC office.
- Lead event planning efforts for various large- and small-scale events throughout the year driven by the Liturgical calendar event coverage and business need such as the Annual DC Christmas Celebration office-wide and department meetings guest group tours etc.
- Work closely with EWTN News Chaplain and local parishes to coordinate confirm and communicate the weekly Mass schedule.
- Serve as liaison with building management security and facilities in coordination with the Engineering Manager and Operations team.
- Maintain proper inventory of office supplies; manage conference room and visitor office reservations.
ABOUT YOU:
- You have a minimum of 2-3 years of prior administrative support experience in a professional environment.
- Intermediate to advanced level skills working with Microsoft Office (Outlook Word Excel PowerPoint) Adobe and Canva or similar platforms; resourceful to conduct thorough internet research.
- Practicing Catholic with demonstrated knowledge of the faith and commitment to EWTNs mission.
- AA degree in Business Administration or related field or equivalent combination of experience and education.
- Outstanding interpersonal skills to project a friendly welcoming and professional demeanor at all times.
- Excellent communication skills to include verbal written and active listening; efficient organizational and time management skills.
- Able to multi-task at a high level while demonstrating a meticulous level of attention to detail; able to adapt quickly to changing priorities and maintain confidentiality.
- Proactive self-starter to work with minimal supervision identify and recommend opportunities for process improvements and establish best practices.
- Consistent prompt and reliable attendance is required; functions successfully as a member of the offices Essential Team; able to work 8:30 am 5:30 pm (M-F) with the flexibility to work overtime when needed (minimal).
