The Documentation Coordinator supports the FACTS Grant & Aid Specialty team by managing applicant documentation maintaining accurate records preparing reports maintaining and updating process documentation and performing key administrative tasks. This role requires strong proficiency in Microsoft Office tools and a working knowledge of AI tools to streamline documentation processes support operational efficiency and ensure compliance with internal standards.


JOB RESPONSIBILITIES:

  • Review and validate documentation submitted with Grant & Aid applications to ensure accuracy and compliance with client eligibility requirements.
  • Accurately enter and update information within the Enterprise system.
  • Maintain organized digital files including document review guides internal procedures and client-specific requirements.
  • Identify and flag inconsistencies or incomplete documentation during review processes.
  • Collaborate with internal teams including Financial Services Data Entry and Payer and Applicant Services (PAS) to obtain or clarify required documentation.
  • Assist in developing and refining document handling workflows using AI-powered tools and platforms to improve efficiency.
  • Generate and distribute regular reports using Microsoft Excel.
  • Ensure that all documentation processes comply with company standards privacy policies and data protection regulations.
  • Monitor and prioritize large volumes of incoming documentation based on client deadlines.
  • Provide training and support to team members on documentation procedures tools and quality standards.

**Pay Range for this role is -$32000-$35000


EXPERIENCE:

  • Minimum 2 years of experience in an administrative documentation or data processing role.
  • Experience with data entry and document review is preferred.

COMPETENCIES SKILLS/KNOWLEDGE/ABILITIES:

  • Proficiency in Microsoft Office Suite especially Word Excel PowerPoint Co-Pilot and Outlook.
  • Familiarity with AI tools or platforms for document processing automation or data analysis.
  • Strong attention to detail and commitment to data accuracy.
  • Excellent organizational skills with the ability to manage multiple priorities in a deadline-driven environment.
  • Clear and professional written communication skills.
  • Ability to adapt to changing processes and evolving technology.
  • Self-starter with strong problem-solving skills and the ability to work both independently and collaboratively.
