Key Responsibilities:
- Licensing & Compliance:
- Maintain up-to-date DCFS licensing documentation and prepare for inspections.
- Submit required reports to DCFS and ensure renewal timelines are met for all business licenses across municipalities served.
- Student Enrollment & Communication:
- Process registrations onboard new families address escalated inquiries and manage ongoing communication with families.
- Subsidy Program Administration:
- Assist families with CCAP application processes track eligibility co-payments and ensure accurate billing.
- Attendance & Records Management:
- Collect and maintain sign-in/out and attendance records for licensing and audits.
- Financial Oversight:
- Work with the bookkeeper to manage invoicing payments payroll and reconcile financial records to ensure accountability.
- Food Program Management (CACFP):
- Submit meal counts and ensure proper meal tracking at all sites.
- Digital Systems Management:
- Maintain organized records and data in ProCare Google Drive and other systems.
- Program Management:
- Assist Site Managers with curriculum scheduling supply orders and site operations.
- Monitor safety procedures and staff-to-child ratios across all locations.
- Collaboration with Districts & Leadership:
- Participate in leadership meetings to ensure strategic goals align.
- Coordinate with school districts respond to compliance requests and represent the organization at district meetings.
Qualifications:
- Bachelors degree in Early Childhood Education Child Development or a related field is required.
- 2-3 years of experience in child care administration or in a director-level role; experience with after-school programs is a plus.
- Strong understanding of Illinois DCFS licensing CCAP guidelines and CACFP requirements.
- Proficient with ProCare Paychex Google Workspace and QuickBooks (or similar systems).
- Excellent organizational time management and record-keeping skills.
- 75% travel required between program sites for audits and compliance reporting.
