About Planning & Zoning:
The Countys Planning and Zoning Division provides the public with a variety of planning services and information based on the Land Development Regulation and Zoning Resolution for the Unincorporated portion of Jefferson County.
As part of the Planning and Zoning division the Scanning Technician/Customer Service Representative provides general customer services and front desk support while coordinating detailed documentation preparation organization delivery and pickup with a third-party scanning company. The position prepares files to be scanned conducts document audits of all content that has been scanned and then authorizes the destruction of files. This role will also assist with onsite scanning.
The Ideal Candidate:
The Scanning Technician/Customer Service Representative is responsible for all aspects of document preparation and coordination with a third-party scanning company as well as conducting scanning audits and completing onsite scanning while providing excellent customer service in support of the Planning & Zoning department at Jefferson County.
The ideal candidate is flexible adaptable and detail-oriented while providing reliable and self-motivated completion of tasks in a position that can offer flexibility with the schedule they keep. The Scanning Technician/Customer Service Representative serves as a liaison between the customer and the Planning & Zoning department staff. This person excels at creating a personable interaction when answering phones or responding to email inquiries and can direct customers to the correct staff to assist. The candidate must have the proven ability to move between diverse tasks with ease and must thrive in a high call volume setting in a professional environment. SCHEDULE:
This is a temporary non-benefited position that operates on site 24-29 hours per week. The business office is open Monday-Thursday 8:00AM-5:00PM. While this position may have the ability for hybrid work in the future at this time this position is required in-office. More details will be discussed during the interview.
COMPENSATION:
Hiring Range: $17-$19 USD Hourly
Compensation will be determined based on education experience and skills.

ESSENTIAL DUTIES:
Provides front desk support by assisting customers by phone e-mail and in person. Provides information based on knowledge of division programs activities and policies. Determines urgency priority and action necessary to serve customer. Routes messages and referrals to other division personnel. Follows-up with customer until matter is resolved or handed off to someone else.
Assists with preparation and organization of document cases to be sent to a third-party scanning company. Examines documents materials or products and coordinates all details of the scanning processes to assess completeness accuracy and conformance to standards.
Tracks QR codes and descriptions of all files to be scanned generally 30-40 boxes at a time.
Performs an audit of the documents that have been scanned page by page with the physical hard copy files to ensure accuracy. Coordinates the approval of the destruction of the physical files.
Completes traditional on-site scanning technician responsibilities with special projects.
Utilizes computerized data entry equipment and various word processing database and file maintenance programs to enter store and retrieve information.
Maintains excellent communication with the third-party scanning company to ensure the project remains on track and provides detailed status updates to management.
Ability to shifts duties quickly and seamlessly when coverage needs arise.
Work independently be self-motivated and have exceptional organizational and communication skills maintain project accuracy and can work directly with customers.
Processes paperwork assuming responsibility for correctness of spelling punctuation grammar format and accuracy of information. Establishes and maintains a variety of tangible files filing and retrieving information as requested or otherwise necessary. Provides general administrative and clerical support for program staff.

Minimum Qualifications:
Experience: Some experience with document scanning document auditing administrative or customer service facing role.
Education: High School Diploma or GED
*Note: An equivalent combination of education and experience is acceptable.
Preferred knowledge skills and abilities:
Solid MS Word & other office 365 suite experience
Good verbal & written communication skills
Strong Customer Service Focus
Computer and data entry skills
Strong Attention to detail and critical thinking
Must be able to work independently with minimal oversight
Ability to handle difficult customers with grace
Ability to change tasks quickly and efficiently
Ability to lift up to 50 pounds to include items such as: boxes and files
