Job Description

Program Coordinator

Tuba City Center

Duty Schedule:

Monday-Friday 8:00 am - 5:00 pm.

Summary/Objective of Position:

The Program Coordinator under the guidance of the Center Director is responsible for organizing regional activities managing resources and collecting data to enhance student retention and recruitment efforts. This includes providing academic and career advising collaborating with retention programs and supporting recruitment activities such as high school visits and recruitment team coordination. The role involves fostering strong relationships with students utilizing data to make informed decisions and working closely with various campus departments to ensure student success and engagement.

Description of Essential Functions of the Position

  • Education
    • Program Development & Goal Setting: Collaborate with stakeholders to develop define goals and objectives for programs and initiatives ensuring alignment with organizational priorities and student needs.
    • Data Management & Educational Planning: gather analyze and compile data to support the creation and implementation of student tracking systems and effective education planning strategies. Ensure data is accurate and actionable.
    • Academic and Career Advising: helping students clarify and develop both their education and career goals. Assist students in selecting coursework appropriate to their skill level and academic goals. Provide information on enrollment registration and financial aid.
  • Student Services:
    • Reporting and Communication: Prepare and present clear detailed reports on program performance progress and outcomes both written and oral to internal teams and external stakeholders. Prepare documents reports and route correspondence.
    • Attend department meeting to stay abreast of changes updates etc.
    • Leadership: assist in training and provide mentorship to students employees interns and volunteers.
    • Maintain confidentiality of records about students faculty and staff.
    • Familiar with Student information software programs such Jenzabar and ConexED or similar programs.
  • Retention:
    • Organizing and Leading Activities: run programs like orientation for students & faculty workshops and special events that contribute to student engagement and retention.
    • Collaboration with other departments: work with different campuses sites and departments to ensure comprehensive student support.
  • Community Engagement:
    • Marketing and Promotion: actively promote the Center and its related activities through targeted marketing efforts including creating promotional materials delivering presentations and participating in committees and outreach events.
    • Planning and Coordination: develops organizes and manages recruitment strategies and events for high schools agencies community organizations and other public events.
    • Community Engagement: actively participate in recruitment fairs open houses career days and other community events to promote opportunities. Works with schools organizations and local groups to build partnerships and raise awareness.
    • Relationship Building: builds and maintains relationships with high schools organizations and community leaders to foster long-term partnerships and ongoing recruitment efforts.
  • Administrative Duties:
    • Support the Center Director in creating and overseeing budgets as well as managing the allocation of both human and financial resources.

QUALIFICATIONS

Education & Experience

Minimum:

  • Bachelors degree in Education Social Work Counseling or related field and 3-5 years of experience in related field or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Preferred:

  • Masters degree in Social Work or Counseling preferred.

Knowledge:

  • Knowledge in student development career development academic advising and retention issues in high education.
  • Knowledge of Family Educational Rights and Privacy Act (FERPA) and implications on student records.
  • Knowledge of internal and external customer service principles and practices.
  • Knowledge of community resources and referral processes.
  • Knowledge of promoting programs and services effectively and methods to ensure that the message reaches the target audience and drives engagement.

Skills:

  • Strong written verbal analytical and organizational skills.
  • Skills in Microsoft Programs: Word Excel Access PowerPoint and Publisher.
  • Skills in organizational management and coordination.
  • Skills in performing a variety of duties often changing from one task to another of a different nature.

Abilities:

  • Ability to communicate orally and in written form.
  • Ability to work effectively with groups and individuals of differing cultural and socio-economic backgrounds.
  • Ability to develop and maintain effective and positive working relationships.
  • Ability to operate the relevant equipment required to complete assigned responsibilities for the position.

Physical Requirements Work Environment & Travel:

  • Ability to lift 25 lbs.
  • Flexible Work Hours: Evenings and weekends; ability to work outside of standard office hours including evenings and weekends.
  • Some overnight travels for meetings trainings/workshops conferences and community events/activities.

Other Requirement(s):

  • Must have a valid drivers license to drive a College or GSA Vehicle.
  • Bilingual in Navajo for public presentation is preferred but not mandatory.
