QUALIFICATIONS:
- High School Diploma post-secondary credentials preferred.
- General office experience including the ability to operate common office automated devices.
- Strong background working with Microsoft Office applications specifically Word Excel and Outlook.
- Ability to interact appropriately with staff students parents and community members in a positive professional manner.
- Ability to maintain confidentiality in dealings with students parents and staff.
- Ability to complete a multitude of tasks that require detailed analysis and accuracy with minimal supervision and frequent interruptions.
- Experience supporting department purchasing accounting and budget processes.
- Regular reliable and punctual attendance required.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO:Curriculum Department Assistant Superintendent / Executive Director
JOB GOAL: To serve as secretary to the Curriculum department and facilitate a quality program for the Rochester Community Schools.
PERFORMANCE RESPONSIBILITIES: The performance responsibilities listed below represent an overview of the responsibilities for this position.
- Maintains accurate files records and accounts; orders processes and maintains materials and equipment for Curriculum Instruction and Assessment.
- Assists in preparation of reports and related departmental requirements.
- Prepares curriculum instruction guidelines course descriptions proposals and goals.
- Prepares and distributes agendas and minutes of the numerous committees for which the Executive Director(s) or other departmental leadership facilitate.
- Serves as a visible and positive public relations advocate for the District by interacting appropriately with visitors and staff; answering questions; relaying messages; and following through with problem resolution.
- Contacts vendors for invoices backordered items expected shipment dates; maintains and monitors files on open invoices awaiting payment and performs follow-up as necessary to ensure timely payment of bills.
- Provides information for journal entries and prepares monthly operational summary report of expenses for all areas of curriculum and assists department staff with curriculum budget processes.
- Processes all accounting and budget transactions for the department as requested; prepares check requests for reimbursements.
- Assists in registering students and assists in monitoring for online (21F) learning.
- Assists in updates to the high school and middle school Course Description Book and registration packets yearly. Keeps website materials for registration updated.
- Assists with the Exam for Credit process through taking registrations making lists posting materials and distributing grades.
- Assists with the placement of students into accelerated classes: helps with data preparation test score spread sheets notification to parents and assists with monitoring data.
- Assists as needed with Career and Technology Education data.
TERMS OF EMPLOYMENT:
- 12 month position
- 8 hours per day
- Salary and benefits as per RSPA Master Agreement for Classification II Clerical Positions.
WORKING CONDITIONS:
- An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
- Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.
REQUIRED POSITION TESTS:Microsoft Office Current District Version: Intermediate Word and Excel and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests Sentence Clarity and Spelling.
