Clinical Scheduling Manager Phoenix Arizona (Multiple Campuses)
Are you a master of logistics with a passion for optimizing operations and supporting high-quality healthcare services SARRC (Southwest Autism Research & Resource Center) is seeking a Clinical Scheduling Manager to lead the coordination and optimization of client and staff schedules across our multiple campuses and environments. In this critical role youll ensure that therapy sessions are scheduled efficiently staff utilization is maximized and our clients consistently receive Applied Behavior Analysis (ABA) services. What Youll Do - Strategic Scheduling Leadership: Oversee and manage most scheduling activities for clinical teams providing ABA services across various settings including center-based in-home community and school environments. Youll develop maintain and adjust daily weekly and long-term schedules in response to changes in client needs staff availability and service authorizations.
- Operational Efficiency: Lead the implementation of scheduling systems tools and best practices to improve efficiency and reduce gaps in service. Youll also monitor and report on scheduling metrics including staff utilization canceled sessions and appointment adherence rates.
- Team Collaboration & Management: Collaborate closely with Clinical Directors BCBAs and HR to ensure appropriate staffing levels and match clinicians with clients based on skills certification and service location. Youll also provide supervision and training to scheduling coordinators or administrative support team members as applicable and manage scheduler work hours and shift assignments.
- Problem Resolution & Support: Serve as the primary point of contact for resolving scheduling conflicts or urgent coverage needs and provide coverage for scheduler absences. Youll partner with the Client Services and Intake teams to support smooth onboarding and transitions of new clients.
- Compliance & Strategic Planning: Ensure all scheduling practices align with organizational policies licensing standards and payer requirements. Youll also participate in strategic planning efforts to forecast staffing and scheduling needs based on client growth and program expansion.

- Leadership & Team Development: Demonstrated experience in leading managing and developing a team fostering a positive and productive work environment.
- Data Analysis & Reporting: Proficient in using data to identify trends forecast future needs and generate actionable reports to drive decision-making. Experience with scheduling software and CRM systems is a plus.
- Problem-Solving & Adaptability: Exceptional ability to anticipate challenges resolve conflicts and adapt quickly to changing priorities in a dynamic healthcare setting.

Required Qualifications - Bachelors degree in healthcare administration business psychology or a related field; relevant experience may substitute for formal education.
- 3 years of experience in scheduling operations or administrative coordination within a healthcare behavioral health or other setting requiring managing multiple sites.
- Proficiency in scheduling software and Microsoft Office Suite.
Preferred Qualifications - Prior experience in ABA autism services or other therapy scheduling.
- Experience with EMRs or ABA-specific platforms (e.g. Lumary CentralReach Rethink or Catalyst).
- Understanding of ABA Services and service delivery models.
Salary $60000 $70000 DOE
Hours Full-time Monday Friday 6:00am 6:00pm with various shifts available.
