Job Description

The Main Stacks Supervisor is an essential part of the librarys Collections Management team responsible for processing materials in various library databases (e.g. Alma CaiaSoft and Link). Supervises the organization maintenance and accessibility of main stacks collections. This position supports the process of transferring materials from main stacks and basement collections to the high-density storage system CaiaSoft. Trains and supervises daily work of approximately 40 student employees each year in many different department processes. Compiles monthly statistics of retrievals and other departmental data. The standard work schedule for this employee is Tuesday through Saturday. Occasional evenings or holidays may be required to support the Access Services Department. The Main Stacks Supervisor reports to the Head of Access Services.

Specific Responsibilities / Accountabilities

Main Stacks and High-density Storage Processing 40%

  • Oversee main stacks collections (e.g. New Book Curriculum Materials Collection Popular Reading Oversize etc.) for general maintenance of the collections.
  • Maintain and update call number signage of main stacks and basement oversize ranges.
  • Process library collections into CaiaSoft high density storage database system.
  • Train review and correct errors for student employees who support transferring materials into basement storage.
  • Provide quality control for approximately 32000 transferred materials in the high-density storage database system each year.
  • Supervise retrievals of library materials from all collections including main stacks and basement. Operates an aerial lift to access materials located on upper shelving in the basement.
  • Troubleshoot issues related to data maintenance as needed.

Supervision of Student Employees 40%

  • Train student workers in the re-shelving of all types of materials in main stacks collections and in shelf-reading searching shifting and maintaining neatness of the shelved materials.
  • Train student supervisors in printing retrievals for requests from main stacks and basement high-density shelves.
  • Assign student workers their daily tasks.
  • Train student workers how to locate and identify library materials; this essential knowledge is necessary to retrieve main stacks basement for LMU users LINK and ILLiad.
  • Write student worker performance reviews.

Department Responsibilities 20%

  • Manage the Collections Management department on Saturdays and occasional holidays.
  • Support Access Services department by covering the Circulation desk if needed for back-up.
  • Use computer skills specifically with library databases (e.g. Alma CaiaSoft and Link) Excel Microsoft Word Adobe Illustrator and Outlook to provide information to library colleagues faculty staff and students.
  • Assist the Document Delivery Supervisor as needed by utilizing Alma and LINK database systems. The responsibilities may include receiving and processing incoming Link materials printing requests overseeing student workers in processing materials received from lending libraries and communicating with patrons.
  • Handle troubleshooting as needed. Refer emergency situations to appropriate personnel such as Public Safety Facilities supervisor etc. and provide backup support if needed.
  • Represent the William H. Hannon Library and LMU within the library and campus community as appropriate.
  • Perform other duties as assigned or requested (for example engagement in department and all-staff meetings and programs a commitment to continuing education to stay abreast of skills and trends in a dynamic environment.).

This position reports to the William H. Hannon Library on the universitys Westchester campus. Incumbent is expected to work fully on-site with a typical schedule during core business hours Tuesday through Saturday. Occasional evenings & holidays may be required.

Requisite Qualifications

  • Typically a Bachelors Degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge skills and abilities.
  • Minimum of one year of experience with library stack maintenance.
  • Customer service experience.
  • Excellent written and oral communication skills.
  • Highly developed organizational skills and attention to detail.
  • Demonstrated computer competencies including Microsoft Office productivity applications and Web browsers.
  • Willingness to learn new systems and processes as needed to adapt to departmental and institutional change.

Preferred Qualifications

  • Experience with stacks maintenance in an academic library.
  • Knowledge in academic library functions and standards and Library of Congress Classification System.
  • Experience using library and enterprise systems such as Alma and Workday.
  • Experience with high-density storage database systems such as GFA or CaiaSoft.
  • Experience supervising and/or training individuals on processes and systems.

Hiring Salary Range

This position is non-exempt with a minimum starting salary of $23. Offer will be dependent on experience and determined in conjunction with an internal pay equity assessment.
