Principals Administrative Assistant

Prairie View Elementary School

8 hours per day/7:30am 4:00pm

212 days per year

JOB SUMMARY

The job of Elementary Principals Administrative Assistant is performed for the purpose of initiating and coordinating secretarial functions required to effectively implement the administrative policies of a building or program. Employees in this classification may be responsible for directing the work of other clerical employees. This position reports to the Building Principal/Program Administrator/Department Supervisor.

Essential Functions

  • Provide courteous efficient positive and welcoming atmosphere to students staff parents administration and community including answering phones in a consistently positive and friendly tone and performing a variety of other office functions
  • Work as a team member relating positively with students staff and the community at large
  • Respond to multiple questions and requests from students staff and parents in a positive professional and timely manner
  • Organize and coordinate a variety of office functions among office personnel
  • Compile financial information related to the school including accounts payable/receivable collecting verifying depositing and reconciling all monies collected writing receipts processing purchase orders and working with the state auditor as needed
  • Maintain general and ASB accounting records; post receipts and expenditures to proper accounts; prepare a variety of reports
  • Manage and organize a variety of office functions among officer personnel such as P-Card sign out cum folders health records and keys
  • Maintain a highly organized and efficient file system may maintain master calendar administrators schedules para educator schedules and building activities calendar
  • Enroll new students and assist families in completing the necessary paperwork including immunization information as well as Kindergarten registration and round up
  • Maintain student enrollment and withdrawal records accurately and professionally (with strict adherence to the districts confidentiality policy)
  • Utilize and accurately update a variety of data management systems such as School Messenger AESOP VeriTime IVisions and Powerschool
  • Process classified time cards staff reimbursement forms personnel action request forms accident reports sub accounting and other payroll documents
  • Prepare and compose reports and correspondence independently including required annual reports for OSPI and student discipline and expulsion letters
  • Establish procedures that implement operational and/or fiscal policies
  • Maintain Building Crisis plans updating and revising as required
  • Follow policies and procedures as established by supervisor
  • Arrange participate in and implement as directed conference and committee meetings
  • Instruct and oversee the activities of Para Educators students and/or assistants as needed
  • Perform duties and responsibilities as needed in the health room
  • Maintain strict level of confidentiality
  • Perform other duties as assigned

Minimum Qualifications

Education/Training

  • AA Degree or equivalent education and/or work experience

Knowledge Skills and Abilities

  • Considerable knowledge of and ability to use Macs PCs and related software
  • Demonstrated ability to independently respond to problematic situations and to remain calm under stress
  • Ability to maintain accurate records and enter and maintain data in automated systems
  • Ability to perform fiscal analysis and make projections
  • Ability to identify problems and to propose feasible solutions
  • Ability to develop and conduct training for staff
  • Ability to multi-task and work independently
  • Strong organizational skills and the ability to work well under pressure and to meet deadlines
  • Strong interpersonal skills and the ability to work professionally with persons at all levels
  • Excellent writing skills and the demonstrated ability to develop written reports and action plans
  • Possess excellent spelling grammar punctuation and composition skills
  • Demonstrated record-keeping/filing skills and ability to work with figures
  • Demonstrated skills in written and oral communication and organizational ability

Must be physically capable of kneeling bending standing and have the ability to lift up to 50 lbs. if necessary.

TERMS OF EMPLOYMENT and Salary:

As outlined by and in accordance with the collective bargaining agreement (CBA) of the Mead Association of Educational Office Professionals (MAEOP)and Policies and Procedures of Mead School District. A typical school year consists of the one hundred eighty (180) scheduled school days plus eleven (11) holidays and twenty-One (21) days beyond the one hundred eighty (180) day student calendar.

The salary range for the position is: Min $21.00 Max $29.26 Salary placement will be at step 1 on the appropriate scale for the position unless otherwise noted within the contract. CBAs and Salary Schedules can be reviewed from the Human Resources page of the Mead School District website at policies and Procedures can be accessed online at employee shall accumulate twelve (12) days of sick leave per year. An employee employed less than a full work year shall be entitled to a proportionate part of the sick leave allowance. A maximum of three (3) days of annual leave are provided for all employees based on the employees scheduled employment hours per day to be used for an absence during work hours or to be accumulated for the purpose of cash out.

Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB) Standard benefits include Medical Dental Vision Life Insurance and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services.
