100% remote but fully integrated into the day-to-day operations of the clinic
The primary focus of your role will be medical billing and insurance coordination but to support this as a full-time position you ll also assist with light executive and administrative tasks.
Billing & Insurance Responsibilities:
Verify patient insurance coverage and obtain pre-authorizations
Communicate with Athelas (the clinic s third-party billing partner) to complete tasks they don t manage
Enter and reconcile electronic payments (including credit card processing)
Follow up on unpaid claims and resolve billing discrepancies
Generate billing and financial reports
Maintain up-to-date records in systems like WebPT Tebra and Google Sheets
Ensure compliance with insurance and billing guidelines
Light Executive Assistant Tasks:
Assist with general administrative support (email organization insurance portal logins)
Support with compliance updates and document tracking
Prepare simple reports or summaries as needed
Help manage calendars reminders or occasional personal admin requests
Serve as a reliable assistant to the front desk manager and owner when needed

Strong background in medical billing and insurance workflows
Experience reconciling payments and resolving claim issues
Reliable organized and great with follow-through
Excellent written and verbal communication skills
Comfortable taking initiative and working independently
Willingness to support administrative needs as part of a long-term team
Ability to work full-time during U.S. business hours (Arizona time)
