Job Description

We have an opening for a highly organized and proactive Administrator to join our team in the Engineering Principal Associate Directors Office. In this key role you will be responsible for managing the day-to-day business operations while also serving as the Directorate Workforce Administrator and Scholar Program Lead. You will supervise a team of exempt and non-exempt administrative staff coordinating a variety of business and administrative activities. You will work independently to plan execute and provide oversight for a range of business workforce and organizational requirements. This position requires the ability to manage conflicting priorities with a high degree of flexibility organization and discretion. As a member of the Directorate Administrative Management Team you will play a vital role in supporting our organizations mission and initiatives. We are looking for someone with proven experience in office management or administration strong leadership and communication skills and the ability to handle confidential information with professionalism. This position is in the Engineering Principal Associate Directors Office.

In this role you will

  • Oversee and manage all day-to-day administrative operations for the Engineering Principal Associate Directors Office proactively identifying and assessing needs and practices and independently developing and executing solutions for complex issues and to support strategic initiatives.
  • Serve as the Directorate personnel transaction (PAS) initiator process salary transactions and provide advice and guidance on salary administration and related matters including analyzing and interpreting Human Resources (HR) requirements/guidance to determine courses of action for obtaining optimal results.
  • Analyze recommend establish implement and regularly review and evaluate internal administrative procedures and systems to enhance operational efficiency and effectiveness.
  • Supervise exempt and non-exempt administrative staff including workload management hiring input staff development training mentoring performance appraisals and salary recommendations.
  • Act as the Directorate point of contact for all hiring activities communicating and providing guidance on employment and compensation processes ensuring accurate and timely reporting of personnel metrics while also interpreting and ensuring compliance with applicable policies procedures regulations and laws.
  • Manage the Directorate Scholar Intern program including review and approval of hires and transactions tracking scholar metrics and leading the virtual summer program.
  • Serve as the Directorate Return to Work Liaison coordinating with management and support departments to advise on safe return-to-work processes accommodations and policy communications.
  • Attend institutional meetings as needed manage Directorate ER and NR funds and Recognition and Awards programs partner with the Directorate Administrator on business and strategic planning and serve as a resource for salary administration and the annual Compensation Increase Program (CIP).
  • Perform other duties as assigned.

Qualifications :

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at time of hire.
  • Associate degree in a related field or equivalent combination of relevant experience and education.
  • Demonstrated experience successfully supervising staff fostering team development and coordinating complex and highly involved administrative and operational activities.
  • Proven ability to lead business operational and organizational initiatives including representing management among internal and external contacts.
  • Advanced administrative and organizational skills including independent coordination and prioritization of multiple complex and variable tasks while working under tight deadlines.
  • Strong interpersonal and communication skills with experience exercising discretion and judgment in sensitive matters and effectively negotiating influencing and presenting to all levels of personnel.
  • Proficient in HRIS and applicant tracking systems with experience interpreting and applying employment policies and procedures and strong analytical and creative problem-solving skills to resolve complex issues.
  • Comprehensive experience with and knowledge and understanding of principles of personnel administration policies and procedures compliance requirements and state and federal laws (FSLA ADA EEO etc.) including all processes related to postings hiring and job reclassifications.

 

Qualifications We Desire

  • Bachelors degree in Business Administration or related field or progressive competence obtained through a combination of experience and education/training.
  • Knowledge and experience interpreting and implementing LLNL policies procedures and practices.
  • Knowledge or familiarity of the Engineering Directorate.
