Responsibilities and Duties (Includes but not limited to)

  • Generate sales invoices using Machine Invoice.
  • Process and distribute all sales invoices through Sales Release Program.
  • Resolve billing discrepancies: corrections and credits as needed.
  • Create and maintain Invoice Log tracking monthly sales transactions.
  • Code Purchase Order request worksheets using industry software as reference.
  • Generate Purchase Orders (POs) for all CEC branches for both Sales and Rental.
  • Create hard card records for files.
  • Travel Set Up and Management / Onboarding CEC employees.
  • Assist as needed with travel accommodations.
  • Review pertinent vendor invoices.
  • Set up payments scan and send to AP.
  • Review sales files.
  • Make sure all attachments are sold out of system.
  • Pull all equipment cards for sold units and file appropriately.
  • Make sure all delivery and receiving reports are completed.
  • Once final checks are completed file appropriately.
  • Review Red tag and delivery and receiving reports once a month (prefer first of the month). Send communication when reports are lacking.
  • Warranty documentation support.
  • Gather information requested by Auditors.
  • Cross-train/future tasks for sales coordinator.
  • Review PO and Stock files.
  • Tracking attachment and units that are in the yard and have no vendor invoices.
  • Ensure equipment photos are current at each branch.
  • Gather special pricing information.

Qualifications

  • High School diploma or equivalent associates degree or Higher Preferred
  • Valid drivers license and a safe driving record.
  • Written and verbal communication skills ability to demonstrate and state facts to all contact people.
  • Understanding of PC hardware/Software (Windows MS Word MS Excel MS Outlook MS PowerPoint) including all manufacturers web portals and able to adapt to industry specific software and programs.
  • Detail oriented organized and responsible.
  • Ability to successfully pass a Drug Test and Background Check.

Physical Requirements

  • Required to sit for long periods and manage stress in a fast-paced environment.
  • Required to use computers and office machines.
  • While performing the duties of this job the employee is occasionally required to stand walk sit climb stairs and ladders able to lift up to 50 lbs. occasionally.
