    QUALIFICATIONS
    1. High School Diploma or equivalent
    2. Associate or Bachelors degree preferred.
    3. Working knowledge of computer word-processing and Microsoft Office applications including Excelability to type or keyboard. Google knowledge preferred
    4. Must have four or more years experience in performing secretarial or general work in an office with considerable public contact or an equivalent combination of experience education and/or training that demonstrates desired knowledge skills and abilities.
    5. Such alternatives to the above qualifications as the assigned District Office Administrator may find appropriate and acceptable.
    6. Ability to obtain a valid Arizona IVP Fingerprint Clearance Card

    KNOWLEDGE SKILLS AND ABILITIES
    1. Ability to communicate effectively verbally and in writing.
    2. Ability to follow written and/or verbal instructions.
    3. Ability to read and interpret manuals and other technical materials related to the position.
    4. Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    5. Ability to work cooperatively and courteously with staff students and community members.
    6. Ability to understand and maintain employee and student rights to confidentiality and not violate those rights.
    7. Perform all duties in accordance with Federal and State laws district procedures and Board policies.

    PRIMARY DUTIES AND RESPONSIBILITIES
    1. Takes notes and may attend meetings in role of recorder.
    2. Obtains gathers and organizes pertinent data as needed and puts it into usable form.
    3. Performs bookkeeping tasks associated with the specific position budget or as assigned.
    4. Welcomes visitors and arranges for their comfort and screens unexpected callers in accordance with a predetermined policy. Explains school and District programs and procedures. Office management duties receives visitors answers inquiries and provides information concerning sites and the district.
    5. Assists in a wide variety of confidential administrative and secretarial support to the assigned Administrator.
    6. Maintains a schedule of appointments arranges conferences travel arrangements and/or hotel accommodations maintains appointment calendars and schedules.
    7. Refers non-job specific inquiries to appropriate departments.
    8. Maintains a regular filing system and processes incoming correspondence documents and materials as instructed and for the purpose of disseminating information to appropriate parties sets up conferences and processes maintenance and purchase requisition orders.
    9. Maintains documents files and records for the purpose of providing up-to-date accounting of departmental budgets.
    10. Composes complex documents (e.g. correspondence reports Consolidated State Performance Report Comparability Report Final Consolidated Plan power point presentations etc.) for the purpose of communicating information to school and district personnel the public and state officials etc.
    11. Prepares capital and supply requests other site purchases and tabulates budgetary transactions.
    12. Communicates with Federal State and local representatives and responds to inquiries of staff other educational institutions the public parents and/or students for the purpose of providing information and/or direction as may be required.
    13. Responsible for all reporting requirements for each grant as identified by Arizona Department of Education to include monthly cash management reports and annual completion reports.
    14. Responsible for preparing submitting and monitoring budget detail for each grant.
    15. Evaluates situations (e.g. involving other staff students parents the public etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
    16. Job location will determine specialized responsibilities. Department-specific responsibilities will be related to actual location of work duties.
    17. Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
    18. Monitors assigned District activities and/or program components for the purpose of ensuring compliance with established financial legal and/or administrative requirements.
    19. Other duties as assigned.

    PHYSICAL DEMANDS

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

    While performing the duties of this job the employee is required to reach with hands and arms sit stand walk stoop and bend as necessary. The employee maylift carry push pull or otherwise move objects weighing a minimum of 10 pounds and could occasionally lift or move up to 20 pounds. The employee will read correspondence and computer screens and use the telephone.

    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with parents students staff and the public.

    ORGANIZATIONAL RELATIONSHIPS
    The Grants Management Specialist reports to the assigned Administrator. The Grants Management Specialist will interact cooperatively with all other staff positions. All elements of good human relations will be practiced.

    TERMS OF EMPLOYMENT
    INITIAL WAGE PLACEMENT PLAN:Starting at$15.85 Per Hour
    WORK YEAR: 12 Months / 8 hours per day
