This position requires office presence of a minimum of 5 days per week and is only located in the location(s) posted. No relocation is offered
Administrative Support:
Perform confidential administrative duties for one or more Officers/Senior Managers requiring considerable tact and diplomacy.
Act as a point of contact for executive administrative and line management personnel external customers and vendors.
Review and prioritize incoming communication taking action independently when appropriate.
Operational Excellence:
Schedule meetings appointments plan events and coordinate travel arrangements for senior leadership.
Compose professional correspondence presentations and reports using advanced computer software tools.
Manage organizational requests for office space equipment and administrative programs such as employee recognition charitable campaigns and records retention.
Project Management:
Assist in organizing planning and overseeing departmental projects and initiatives.
Act as a leader on initiatives that must be worked across your peer group to ensure projects are seamless and delivered in a timely manner with minimal leadership oversight.
Team Leadership:
Provide mentorship and guidance to junior associates and assistants regarding administrative practices and project execution.
Coordinate resource allocation and workload distribution to optimize team performance.
Serve as a backup for other Executive Assistants during absences providing seamless administrative support to Officers.
Required Skills and Competencies:
Leadership and Team Management: Proven ability to guide and mentor team members while fostering a collaborative environment.
Project Management: Expertise in planning organizing and executing projects with strong organizational skills.
Strategic Thinking: Ability to identify opportunities for process improvements and contribute to long-term planning.
Communication: Excellent written and verbal communication skills to effectively engage with stakeholders at all levels.
Technological Proficiency: Advanced proficiency in Microsoft Office Suite and project management tools.
Adaptability: Proactive and resilient in managing multiple priorities under tight deadlines.
Qualifications:
Education: High School Diploma required; Bachelors degree in Business Administration Management or a related field preferred. Masters degree is a plus.
Experience:
Minimum 5 years of experience supporting senior leaders/executives
