JOB SUMMARY: Provide administrative and liaison support to the Director & CEO and CFO/COO. Fully understand the goals of the Director & CEOs Office and assist in achieving them. Exercise discretion and professionalism in all interactions and transactions. Update Director & CEO on the status of projects and other relevant issues. Serve as the primary liaison for the Director & CEO and CFO/COO to the Board of Trustees. Support mission and vision of museum throughout performance of duties.
ESSENTIAL FUNCTIONS: - Provide administrative assistance to the Director & CEO and CFO/COO including scheduling meetings and appointments preparing meeting materials and drafting agendas and minutes.
- Maintain the Director & CEO and CFO/COO calendars.
- Maintain Director & CEOs travel arrangements itineraries and expense reports.
- Administer the Directors Office budget including recording all expenses processing monthly finances and drafting annual budget.
- Liaison with staff across the institution to facilitate requests of the Director & CEO and advance departmental tasks.
- Assist the Director & CEO and the CFO/COO with trustee board meetings logistics and scheduling. Draft notes for Director & CEOs reports assist board President with meeting preparations as needed and compile presentation materials agendas and minutes.
- Coordinate all Executive and Nominating Committee activities with the Director & CEO. Assist CFO/COO with Budget & Finance Investment and Audit Committees communications and materials.
- Be available to work weekdays evenings weekends and holidays as needed.
- Follow policies and procedures to ensure a safe work environment.
- Other duties as assigned.
KNOWLEDGE SKILLS AND EXPERIENCE: Outstanding organizational skills with the ability to prioritize innovate problem-solve and manage projects. Excellent interpersonal skills and the sensitivity to act with diplomacy and discretion in all matters. Impeccable verbal and written communication skills with the ability to actively listen and clearly communicate. Ability to take initiative and work without direction. Experience interacting with a Board of Trustees and ability to maintain and understand protocol and formality. Experience in a philanthropic and fundraising environment. Strong technical and MS Office skills. Bachelors degree and a minimum of 5 years recent relevant and demonstrated administrative experience in an executive administrative capacity or equivalent education and experience. Experience in a non-profit environment and knowledge of and interest in contemporary art preferred.
