Job Description

We are hiring for a full-time Accounting Clerk to join the Finance Department at Second Harvest Food Bank of Middle Tennessee.

What youll do:
Summary: Accounting Clerk reports to the Controller and has primary responsibility for processing incoming mail preparing deposits recording cash flow transactions and payments to customer accounts maintaining logs supporting Raisers Edge entries vouchering food purchases scanning invoices into approval systems and supporting the functions of the Finance team. Key Responsibilities:
  • Record transactions utilizing Cash Flow for deposits and charges that process directly through our banking relationships.
  • Perform new customer set up.
  • Maintain logs to support monthly validation of Raisers Edge cash receipts.
  • Sort and distribute incoming mail.
  • Batch scan and create deposit slips for all cash receipts.
  • Review and post invoices for food orders each day and submit monthly miscellaneous invoices.
  • Voucher food purchase invoices and scan into document retention solution.
  • Provide support to Accounts Payable Specialist as directed including downloading online invoices distributing invoices for approval processing payments etc.
  • Primary accounting contact for Partner Agency account questions and credit card payments.
  • Process credit card payments received via automated solutions.
  • Act as backup to both Accounts Payable Specialist and Accounting Manager.
  • Responsible for maintenance and disposal of paper records in accordance with document retention policy.
  • Monitor and empty coin machine and contact courier when ready for deposit.
  • Assist in onboarding vendors to ACH payments.
  • Send Partner Agency follow-up emails on past due accounts.
  • Primary support person from accounting to cover reception desk.
  • Order supplies for the accounting unit.
  • Perform other duties as assigned by Controller.
Supervisory Responsibilities: No this position has no supervisory responsibilities.
When & Where:
  • Schedule:
    • Monday Friday 8:00am 4:30pm.
    • Occasional duties may be necessary as well as responding to issues outside of normal working hours (e.g. disaster response community events etc.).
  • Travel:
    • Occasional daytime travel required up to 5% of work week within the local service area.
    • Current drivers license with copy of current auto insurance and acceptable Motor Vehicle Record (MVR) results required.

  • Essential business/ first responder: In instances of a federal state or locally declared emergency Second Harvest is typically considered an essential business service and emergency responder. All employees may be required to perform regular or emergent duties on-site. Employee safety is balanced with business and community necessity. Some positions are more likely to be required on-site than others.
Is this you
  • Education: High School Diploma or equivalent is required; preferred post-secondary courses in
    Accounting/Bookkeeping.
  • Experience: 2 years of related experience and/or training in a clerical role within an accounting environment.
  • Skills & Capabilities:
    • Strong organizational skills including filing sorting and batching of data.
    • Strong knowledge off A/R processes including billing coding data input balancing and collections functions.
    • Strong oral and written communication abilities.
    • Strong math skills.
    • Familiar with and have experience using general office equipment.
    • Knowledge of an automated accounting system.
    • Proficient in Windows-based software (Word Excel Outlook).
    • Follow directions and work independently.
  • Competencies: Attention to detail Safety and Risk Management Quality Improvement Technical Proficiency.
  • Other requirements: Our pre-hire process requires acceptable results from the following: professional reference feedback criminal background and Motor Vehicle Record. Current Drivers License and automobile insurance are also required. Criminal backgrounds are evaluated on a case-by-case basis considering several factors (timing frequency severity and job relation).
