Overview:

The Project Administrator here at Blue Heron is responsible for providing administrative support to internal departments. The Project Administrator is the liaison between internal and external clients and focuses on developing relationships within the organization. This role includes components of planning compliance purchasing and accounts payable. The Project Administrator is part of our boundary pushing team and works closely with departments leaders to support the overall goal of the company building dreams for our clients.


Duties & Responsibilities:

  • Monitors and responds to department emails.
  • Updates weekly reports for RFIs and construction schedules.
  • Tracks all phases of the home build process in company systems and spreadsheets.
  • Assists with scheduling meetings and events such as creating calendar invites reserving rooms / venues preparing agendas ordering food and setup / cleanup.
  • Provides support to field employees including ordering blueprints supplies and equipment.
  • Tracks and schedules required field certifications such as dust and OSHA cards.
  • Ensures document control with internal systems.
  • Obtains permits and plan revision approvals with municipalities.
  • Obtains approvals from HOAs for design.
  • Creates submittals for utilities including gas loads and electrical loads.
  • Coordinates start notices with subcontractors and internal project teams.
  • Prepares contracts and creates purchase orders for indirect costs such as engineering field equipment site maintenance and land development work.
  • Codes invoices within accounts payable system.
  • Tracks insurance certifications for subcontractors.
  • Other tasks as assigned.
Requirements

Essential Qualifications:

  • Strong proficiency in Microsoft Office (Word Excel Outlook).
  • 1- 2 years of administrative experience required.
  • Construction industry experience is preferred but not required.
  • Ability to work independently and within a team setting.
  • Occasional travel to job sites and locations.
