Job Summary

The Education Program Coordinator (Pathways Liaison) will work in collaboration with program leadership for the Internal Medicine Residency Program reporting to the Senior Director of Education Administration to administer educational experiences particularly in regard to the various educational pathways within the residency and support the general administrative function of the program. Ensure compliance with all ACGME requirements and adhere to all programmatic regulatory standards. Requires advanced administrative skills and experience in word processing presentation preparation a high degree of organization and the ability to prioritize assignments. Utilizes enormous amount of judgment and discretion in dealing with confidential and sensitive matters and in screening and handling certain routine and administrative functions on behalf of the Medicine Residency Office.

Knowledge Skills and Abilities

  • Coordinate all aspects of the programs five educational pathways: Science in Residency Pathway Management & Leadership Pathway Clinical Investigation Pathway Scholars in Medical Education Pathway and Leadership in Healthcare Equity Pathway.
  • Schedule all didactics and educational activities during each pathways dedicated elective blocks including reserving conference room space and arranging speaker schedules.
  • Coordinate special fields including all travel arrangements for annual MLP Washington DC trip.
  • Prepare pathway itineraries for distribution to residents.
  • Coordinate pathway evaluation process and prepare results to be share with pathway leadership and program director
  • Coordinate dedicated Science in Residency interview days during recruitment season including arranging faculty interviews for approximately 40-50 candidates per year and preparing individual itineraries and recruitment materials to distribute to candidates.
  • Serve as primary administrative liaison between Master Educators and the program which includes scheduling all Master Educator related teaching activities processing residency related expenses and assisting with arranging Master Educator meetings.
  • Assist with annual residency recruitment initiatives including: maintaining ERAS database applications and non-ERAS communication assisting Program Directors with process of screening applicants preparing interview packages and individualized itineraries for applicants communicating with applicants before during and after interview day to provide information and answer questions and providing administrative support for subcommittee and final selection meetings.
  • Assist with preparations for onboarding the new intern class each academic year.
  • Monitor the programs inbox for training verification requests and prepare all verification and credentialing letters for Program Directors signature.
  • Maintain resident personnel data within New Innovations and update annually with licensure malpractice and other compliance-related data and documentation.
  • Monitor residents Duty Hour logging in New Innovations and compliance with GME Duty Hour evaluations (monthly).
  • Distribute weekly e-mail reminders to residents for various educational activities.
  • Set-up and monitor resident code trainings through the STRATUS Simulation Center.
  • Assist with scheduling resident meetings with program directors.
  • Coordinate various residency-related events and process advanced authorizations related to those activities.
  • Provide general support to the Medicine Residency Office.
  • Work closely with the Education Program Managers and Senior Director of Education Administration on special projects or other administrative activities as requested for the Department of Medicine.
  • Strong knowledge of the healthcare industry including an understanding of medical terminology healthcare regulations and the dynamics of healthcare provider organizations.
  • Excellent interpersonal and relationship-building skills are essential for building and maintaining strong connections with healthcare providers.
  • Strong logistical and project management skills are important for coordinating multiple aspects of events including venue selection scheduling and resource management.
  • Exceptional verbal and written communication skills are necessary for effectively conveying information delivering presentations and facilitating discussions with healthcare providers internal stakeholders and external partners.
  • Proficiency in collecting analyzing and interpreting data related to program evaluation and outcomes.
