Responsibilities:
- Streamline Operations: Manage office supplies inventory placing orders to ensure our team is always equipped reflecting your reliability in keeping our office running smoothly.
- Coordinate with Care: Schedule cleanings and meetings with a friendly organized approach allocating responsibilities to support our growth and client satisfaction.
- Build Strong Relationships: Oversee client management and nurture cleaner relationships with your warm communication style ensuring dependable partnerships that uphold our commitment to excellence.
- Create Memorable Moments: Plan and coordinate staff events infusing them with your friendly energy to foster team spirit and celebrate our shared success.
- Ensure Financial Accuracy: Process payroll with meticulous attention to detail using Wave Accounting and maintain budgeting records to support financial reports.
- Drive Talent Excellence: Conduct initial candidate interviews and reference calls identifying top talent who share our values of reliability and quality to join our licensed bonded and insured team.
- Lead with Confidence: Supervise front desk operations and phone systems leveraging your excellent communication skills to create a welcoming client experience.
- Innovate and Improve: Write SOPs and develop systems to streamline workflows using tools like ZenMaid ClickUp and Nextiva to support automation (e.g. contact syncing via Zapier) and enhance operational efficiency.
- Solve Problems Proactively: Identify potential challenges and implement creative solutions ensuring our office supports SparkleMafias growth and delivers exceptional service every time.
Qualifications:
- Proven experience in administration or a related field showcasing your ability to manage with reliability and precision.
- Exceptional organizational and multitasking skills allowing you to juggle multiple priorities with ease and excellence.
- Knowledge of budgeting principles and proficiency in Wave Accounting software ensuring accurate financial management.
- Strong interpersonal skills with a friendly approachable demeanor perfect for building relationships with staff vendors and clients.
- Experience in payroll processing demonstrating your dependable attention to detail.
- Ability to lead and supervise a team fostering a positive excellence-driven workplace culture.
- Excellent phone etiquette and communication skills reflecting your commitment to creating a welcoming client experience.
- Experience in event planning is a plus adding your creative touch to team and client engagements.
