Overview

MSA Professional Services is looking for a detail-oriented and proactive Administrative Coordinator to join our team onsite in our Baraboo office. This dynamic role is a vital support for our Shared Services group and is instrumental in keeping our office operations running smoothly. Key responsibilities include managing daily mail and package processingincluding daily trips to the Post Office and handling UPS shipmentswhile also supporting general administrative functions such as phone reception office supply management and shared team coordination.

Responsibilities

What you will do:

  • Manage daily mail and package handling including Post Office runs and UPS shipments.

  • Provide administrative support to the Shared Services team and general office operations.

  • Answer and forward incoming phone calls and voicemails.

  • Make office-related purchases using the company credit card and reconcile transactions.

  • Maintain office supply inventory and reorder as needed.

  • Coordinate routine maintenance requests and building service needs.

  • Support employee events and appreciation efforts through gift and flower ordering.

  • Fulfill ad-hoc requests including typing printing and scanning.

  • Ensure workstations are equipped with appropriate furnishings and technology.

  • Collaborate with other administrative staff to support team-wide initiatives.

Qualifications

What you bring:

  • Highschool diploma or GED Associates degree preferred
  • One year experience providing administrative support in an office
  • Youre someone who jumps in with a strong sense of urgency and a focus on providing great service.

  • You stay on top of tasks with strong organization and time management.

  • Youre always looking to learn welcome feedback and take pride in owning your work.

  • Details matter to youyou catch the small things others might miss.

  • You think things through and use sound judgment to find smart practical solutions.

  • Youre comfortable communicating clearly whether its in writing or a conversation.

  • Youre confident navigating Microsoft Office tools like Word Excel PowerPoint Outlook and Teams.

The selected candidate must be authorized to work for any employer in the U.S. without requiring visa sponsorship now or in the future. We are unable to provide or take over sponsorship of an employment visa for this role.

The hourly wage for this position ranges from $18.80 to $30.20 per hour commensurate with experience. Higher compensation within this range will be paid to candidates with significant experience and exceptional qualifications.
