Employment Type: Full Time (Temp-to-Hire)
Monday - Friday 9am to 5pm (35 hours)
This is a nonprofit organization dedicated to preserving the legacy of wildlife conservation supporting youth outdoor sports programs and advocating responsible gun and hunting rights. The team is passionate about making an impact through education fundraising and community engagement.
Position Overview:
We are seeking a highly organized dependable and self-motivated Executive Assistant to support the day-to-day operations. This individual will play a vital role in keeping the organization running smoothly while also serving as a personal assistant to the organizations founder. The ideal candidate is proactive detail-oriented and comfortable working in an environment that supports hunting outdoor sports and Second Amendment rights.
Key Responsibilities:
Administrative Support
Manage calendars schedule meetings and coordinate daily office operations
Handle correspondence file documents answer phones and manage emails
Assist with data entry expense tracking and general office duties
Maintain inventory of office supplies and coordinate with vendors as needed
Post-office supply and other errands
Assist with arranging purchase wrapping and delivery of client gifts
Accompany and drive the founder/owner to meetings and appointments (using his vehicle) some of which may be up to 2 hours away
Manage logistics for meetings and appointments to ensure timely arrival
Maintain confidentiality and professionalism in all communications and interactions
Assist in planning and organizing the organizations annual gala and other fundraising events
Coordinate event logistics including vendor communication RSVPs sponsorship tracking and on-site setup
Support donor communication and help maintain donor databases
Qualifications:
Previous administrative or executive assistant experience preferred
Valid drivers license with a clean driving record
Excellent organizational and multitasking skills
Strong written and verbal communication abilities
Proficiency in Microsoft Office (Word Excel Outlook) and Google Workspace
Event planning or coordination experience is a plus
Ability to work occasional evenings and/or weekends during key events
Comfortable with the organizations mission including support for gun/hunting rights and youth outdoor sports
