JOB SUMMARY: Under the general direction of the Assistant Superintendent the Instructional Support Specialist performs a variety of office managerial functions including but not limited to: running day-to-day operations of the office purchasing activities and internal communications. We are seeking a highly organized proactive and detail- oriented individual. The ideal candidate will have proven experience in office management strong communication skills and a background in purchasing or procurement. This role is essential in ensuring smooth operations fostering a positive work environment and supporting the companys logistical and administrative needs.
QUALIFICATIONS:
- High School Diploma.
- Associates or Bachelors Degree or extensive as an office or administrative manager (Preferred)
- Clerical and office experience.
- Experience in purchasing or procurement.
- Ability to design create and execute projects using databases graphs charts and spreadsheets.
- Proficient in Microsoft Office Suite and familiarity with purchasing software/tools.
- Ability to work with all school system staff and the general public.
- Must be pleasant and professional.
- Excellent written and verbal communication skills.
- A self-starter and ability to complete tasks with minimal supervision.
- Strong organizational and time management skills.
- Ability to manage multiple priorities and work under pressure.
- Experience in vendor negotiations and budget management (Preferred)
- Ability to maintain strict confidentiality.
ESSENTIAL FUNCTIONS:
- Oversee and support all administrative duties in the office ensuring that the office is operating smoothly.
- Manage office supplies inventory order items as needed and maintain vendor relationships.
- Coordinate maintenance of office equipment and liaise with building management as needed.
- Serve as the Assistant Superintendents administrative assistant.
- Support the Instructional division with communications and presentations internally and externally.
- Draft and distribute internal memos announcements and newsletters.
- Assist leadership with presentation materials reports and correspondence.
- Ensure consistent company messaging and branding in communications.
- Manage vendor sourcing negotiations and contract management.
- Process purchase orders track deliveries and reconcile invoices.
- Work with departments to identify procurement needs and ensure cost-effective purchasing.
- Maintain accurate records of purchases pricing and supplier performance.
PAY & HOURS: This position is a 12 month exempt position with a minimum of 37.5 hours per week. Caroline County Board of Education Support Services II Personnel Salary Schedule. Placement on the appropriate salary lane/step will be based on knowledge experience skills and training related to this position.
