Job Description

Position type: permanent

Vacation & time off: 3 weeks of vacation 14 Statutory holidays paid sick leave and additional paid time off between December 24 and January 1.

Benefits: eligible for a comprehensive health benefit plan and matched RRSP contributions after the probationary period (3 months).

Start date: ideally in September 2025

About the role

Reporting to the Executive Director (ED) the Operations Manager is part of the CPAWS Yukon leadership team and is responsible for managing the financial and administrative areas of the organization as well as the office space. Their major responsibilities are:


Financial Management (30-35%)

Responsible for all aspects of financial management

  • Develop and maintain organizational and project budgets in collaboration with the ED
  • Integrate fundraising plans with campaign and project plans
  • Provide quarterly budget vs. actual reports to the ED and Board of Directors as well as any other financial reports as requested. This includes attending evening board meetings 3-4 times per year.
  • Maintain financial accounts using Quickbooks
  • Monitor cash flow and provide cash flow projections as requested
  • Manage payables receivables credit card accounts petty cash and payroll
  • Prepare monthly bank and credit card reconciliations
  • As a member of the Invest Committee administer the reserve fund and investments
  • Lead on developing annual fundraising plans the Direct Mail fundraising letter and longer-term strategic budgets
  • Work alongside an external accountant to oversee the preparation of the annual audited financial statements
  • Develop and implement fiscal policies and procedures
  • Liaise with the CPAWS National Office Finance & Operational teams on matters of finance policy and operations. Provide quarterly financials bi-annual reports audited financial statements and other reports as requested.

Administration/Office Management (30-35%)

This position is the administrative engine that keeps the organization going

  • Daily management of the main phone line email mail and office communication
  • Maintain filing systems and streamline office systems
  • Maintain office and building supplies
  • Oversee the physical space equipment and facility needs of the organization (cleaning contract security contract IT requirements repairs etc.)
  • Manage/assist in event planning as needed including the December Open House and AGM
  • Act as the first point of contact for supporters and volunteers.
  • Develop and implement administrative policies and procedures
  • Assist the Board of Directors where necessary.
  • Maintain the society in good standing with Corporate Affairs

Funding (20-30%)

Support the ED with fundraising efforts and provide all financial data

  • Maintain a schedule of deadlines for proposals and reports
  • Liaise with funders as requested by ED
  • Prepare all financial and organizational information required for funding proposals and reports and assist the ED with other aspects as required
  • Liaise with the CPAWS National office on Grant Fulfilment Contracts and other charitable donations.

Human Resources (10%)

  • Manage all hiring processes with the ED
  • Administer the payroll program (Dayforce Powerpay) and benefits programs
  • Manage personnel files as well as onboarding and offboarding of employees in BambooHR
  • Administer personnel policies and inform employees of changes to policies / processes and enforcing policies as needed
  • Manage agreements with contractors interns and co-op positions
  • Develop and implement additions to the CPAWS National HR policies and procedures

Other (5%)

  • Participate in weekly staff meetings and bi-weekly leadership team meetings
  • Participate in campaign meetings as time permits
  • Participate in the development of strategic documents
  • Supervise any administrative positions the Conservation Intern as well as any other student positions


Preferred candidate background

  • Strong organizational skills and eye for detail.
  • A degree in Business Administration or Finance or equivalent experience providing bookkeeping and/or accounting services preferably in the non-profit setting is required.
  • Experience with developing and maintaining budgets analyzing financial data providing recommendations and financial reporting to third parties.
  • Experience working with a volunteer Board of Directors.
  • Well-versed in using bookkeeping software e.g. Quickbooks.
  • Self-motivated and able to work autonomously take initiative and prioritize tasks.
  • Work well as part of a team as well as independently.
  • Experience reviewing writing and enforcing internal policy is beneficial.
  • Experience as a supervisor and/or manager is beneficial.
  • Interest in conservation and the environment is nice to have.
  • A drivers license is strongly preferred.
  • Upon hiring a willingness to provide a criminal record check including vulnerable sector check.
  • Occasional evening and weekend work will be required. This position may involve occasional travel within and outside of the Yukon.
