Job Description

Job Title: Receptionist

Role Responsibilities:

  • Greet and welcome visitors in a professional manner.
  • Answer incoming calls and direct them to appropriate personnel.
  • Manage the reception area ensuring it is clean and organized.
  • Assist with scheduling appointments and meeting rooms as needed.
  • Provide information to clients and guests about the organization.
  • Handle incoming and outgoing mail and packages.
  • Maintain office supplies inventory and place orders when necessary.
  • Coordinate logistics for meetings and events.
  • Assist with administrative tasks as directed by management.
  • Respond to inquiries via phone email and in-person communication.
  • Ensure confidentiality of sensitive information.
  • Support other team members with their tasks as required.
  • Perform data entry and maintain accurate records.
  • Utilize office equipment such as printers copiers and fax machines.
  • Demonstrate a positive and friendly attitude at all times.

Qualifications:

  • High school diploma or equivalent; further education is a plus.
  • Proven experience as a receptionist or in a similar front desk role.
  • Strong communication skills both verbal and written.
  • Proficiency in MS Office Suite (Word Excel Outlook).
  • Ability to handle a multi-line phone system.
  • Excellent organizational and time management skills.
  • Ability to maintain professionalism under pressure.
  • Familiarity with basic office equipment.
  • Strong problem-solving abilities.
  • Ability to work independently as well as part of a team.
  • Customer-oriented mindset with a polite and friendly demeanor.
  • Attention to detail and accuracy in tasks.
  • Prior experience in customer service is highly desirable.
  • Willingness to learn and adapt to new challenges.
  • Ability to work in a fast-paced environment.
  • Fluency in English; knowledge of additional languages is a plus.
