Job Summary

The Manager Clinical Program Practice oversees the daily operations and provides strategic direction and supervision of OB/GYN and Midwifery clinics. Works to optimize patient access while continuously improving quality and patient experience. Assures that all medical equipment and other physical properties are maintained in good operational condition. Effectively coordinates the clinic operations in accordance with administrative policies physician preferences and patient needs. Provides leadership direction and guidance to physicians and support staff.

Minimum Requirements

Experience -3 years experience in healthcare operations support including 1 year supervisory experience OR Bachelors degree with 1 year supervisory experience; OB/GYN clinic experience is preferable.

Education - High School Diploma or equivalent

Special Skills -Experience with clinic operations troubleshooting critical thinking timekeeping basic human resources management and strong teambuilding and customer service skills.

Responsibilities
  1. Program Management and Daily Operations
    1. Manages daily operations for site specific co-located programs. (currently Medical Home and Neurology). Ensures adherence to program guidelines practices and policies. Develops tools timelines and offers direction to staff in order to meet all program criteria while optimizing productivity and resource utilization. Collects data measures outcomes and reports to physicians staff and service line leaders routinely. Troubleshoots and addresses operational issues escalating when appropriate.
    2. Assists in the development coordination and monitoring of any new departmental programs and services in an effort to increase program performance and identifies opportunities to continuously improve performance.
    3. Orders and maintains adequate inventory levels for all general office and medical supplies utilizing the just-in-time philosophy.
    4. Ensures daily financial transactions comply with financial controls policies. Compliance with billing procedures specific to the programs and the supervising and performing providers as well as the advanced practitioners.
    5. Develops monitors and complies with operating and capital budgets productivity overtime and timekeeping.
    6. Develops updates and monitors scheduling billing and collections policies and procedures to optimize financial and operational performance.
  2. Quality
    1. Monitors departmental performance by evaluating the quality of provided services communicating with patients and family members regarding their health concerns and recommending program revisions which address the needs of the patient to increase the quality of services provided. Develops required reports and maintains accurate records for use in evaluating departmental performance.
    2. Participates in and fosters an approach to continuously improving quality that includes both intradepartmental and interdepartmental activities Lean Six Sigma Projects Baldrige and or program accreditation requirements.
  3. Collaboration and Partnership
    1. Demonstrates a positive customer service attitude/behavior. Reacts in a timely manner to resolve patient complaints and/or employee conflict. Continuously promotes excellent customer service to staff and physicians. Maintains open communication with service line leaders colleagues referring physicians and staff physicians.
    2. Works closely with Marketing to coordinate and organize special events announcements and other public relations and marketing opportunities.
    3. Works with physician group hospital and/or health system on strategic initiatives work groups or other initiatives as required.
  4. Other Duties as Assigned
    1. Performs other duties as assigned or requested.


Qualifications
