Job Summary:

The Site Survey Coordinator is responsible for ensuring the successful execution of residential or commercial solar site surveys by managing field survey schedules and internal teams and ensuring timely submission of survey deliverables. This role is not part of the design team but works closely with designers to ensure survey accuracy and efficiency. Strong communication skills customer service aptitude and organizational capabilities are essential. Knowledge of solar systems is a strong plus.

Key Job Functions:

  • Coordinate and manage the scheduling of all solar site surveys.
  • Ensure surveyors are showing up on time and completing surveys as scheduled.
  • Proactively track survey submissions and follow up with field staff on outstanding or delayed surveys.
  • Work directly with the Design and Project Management teams to ensure surveys meet required standards.
  • Reschedule surveys as needed due to cancellations no-shows or operational delays.
  • Maintain and monitor a centralized calendar for survey appointments and ensure efficiency in routing and resource allocation.
  • Communicate professionally with surveyors and internal departments to address issues or updates.
  • Maintain accurate digital records and logs of completed rescheduled and pending surveys.
  • Identify and escalate recurring issues or bottlenecks in the survey process to management.

Key Responsibilities:

  • Own the day-to-day coordination of site surveys from scheduling to submission.
  • Ensure survey data is relayed to the design team on time and is complete.
  • Serve as a support system for surveyors in the field by helping resolve conflicts or last-minute changes.
  • Collaborate with Operations and Design to align scheduling and workflow expectations.
  • Monitor surveyor performance (punctuality submission timeliness) and flag issues to leadership.
  • Assist in developing process improvements for survey operations and communication flow.


Requirements

Qualifications:

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Comfortable speaking directly with customers and internal stakeholders.
  • Prior experience in scheduling coordination or project support roles preferred.
  • Knowledge or experience in the solar industry is a plus.
  • Familiarity with scheduling tools CRM systems (e.g. Quickbase Salesforce) or project management platforms is a plus.
  • Ability to multitask in a fast-paced environment.


Duties/ Responsibilities: Manage and oversee the monitoring portals Utilize computerized systems to track and analyze solar systems Provide communications such as emailing or calling contractors for onsite visits as well as being able to RMA any equipment Utilize Google Suite and other software to assist with office tasks Act as solar systems monitor for all company clients and be able to walk them through their portal when they receive PTO Provide and analyze generated reports to recognize monitoring system errors and be able to troubleshoot remotely if possible
