Community Care Tasmania is a not for profit focusing on providing compassionate care and support enabling our clients to thrive at home with dignity. We are seeking a dynamic and dedicated individual to become part of our Administrative Team in our Kings Meadows Office.
About the Role
The administrative assistant will be responsible for assisting in the running of our front office and coordinating the day-to-day administrative duties of Community Care TASMANIA. This essential role provides high quality administrative assistance to ensure the office runs effectively and efficiently at all times.
Primary Duties include:
- Day to day administrative duties.
- Ensure the efficient management of the front reception area including keeping the area clean and tidy
- Provide telephone and reception duties including directing phone calls to the relevant staff
- Meet and greet clients and staff and visitors to the organisation
- Access support worker rosters and assist with rostering enquires where required
- Schedule meetings and appointments where required
- Ordering and taking stock of office supplies
- Ensure equipment and supplies are maintained
- Maintain excellent record keeping
- Writing and issuing of emails to teams and departments in a timely manner
- Contribute to solutions to improve administrative processes
- Maintain good WHS practices in accordance with CCT policies and procedures
- Other tasks as may be reasonably directed by your supervisor
Essential Requirements:
- A certificate in business or administration studies or extensive experience in a similar role.
- Demonstrated high level of both written and verbal communication is essential for this position.
- Experience Microsoft 365 including Outlook Word & Excel
- Exceptional problem solving skills are essential for this position.
- Demonstrated experience in providing exemplary customer service.
- Experience working with clients and staff from diverse backgrounds.
- Well organised with the ability to manage tight deadlines in a methodical and dedicated manner.
Desirable Requirements:
- Experience with the Nightingale and Employment Hero platforms.
- Experience and understanding of the Aged Care and Disability sector
- You will bring:The ability to work as part of a team.
- Willingness to participate in further training and education opportunities.
- Problem solving negotiation and conflict resolution skills
- Effective communication skills and willingness to contribute to our positive workplace culture.
