JOB SUMMARY:
Provide assistance and support to the Assistant Makeup Designer and Supervisor by overseeing daily operations and administrative duties within the department. Position includes such responsibilities as purchasing project tracking and reporting scheduling and EHS compliance tracking.
MAJOR RESPONSIBILITIES:
- Performs administrative responsibilities in support of Managers Supervisors and Design/Costume team which include: Assist with project lists/schedules tracking/reports team member schedules daily flash reports overtime justifications multiple Kronos needs documenting team member recognition/performance maintaining company information TSAT communication boards EHS compliance tracking housekeeping inspections as well as other assigned duties.
- Assist with inventory control purchasing invoice tracking all paperwork associated with budget tracking and P-Card maintenance. Communicate all purchasing needs with appropriate parties following the policies and guidelines of UO Purchasing group assuring that all parties have adequate information to make sound purchases and that documentation is retrieved and provided for purchaser when requested.
- Performs opening and/or closing duties for the venue(s) including: Assist with scheduling time cards DSR payroll checking in crew daily meetings start-up/shut down procedures communicating operational or staffing/technical problems adjusting staffing levels grids and rotations to accommodate business needs and compiling daily FYI for distribution.
- Assist Management /Supervisor with special event scheduling tracking and communication. This also includes involvement with fittings rehearsals and auditions as requested. This may also entail the photo documenting of event and park roles day to day running of department with whatever current project is in the Lab/ Costuming as well as organization and cleanliness of work areas putting supplies away and organizing completed work.
- Understand and actively participate in Environmental Health & Safety responsibilities by following established UO policies Procedures training and team member involvement activities.
- Perform other duties as assigned.
SCOPE:

EDUCATION:
- High school degree or GED required.
- Technical school preferred.
- Bachelors degree preferred.
EXPERIENCE:
- 1-3 Years: Previous coordinator or lead experience.
- Strong administrative skills.
- Proficient in Microsoft Word Excel and Outlook.
- Or equivalent combination of education and experience.
