As a Virtual Case Manager / Office Assistant supporting a leading personal injury attorney in the U.S. you will own the end-to-end pre-litigation case management workflow. Your role will transform the client experience by ensuring each case progresses efficiently with empathy strategic prioritization and a focus on resolution. You will manage demand letters medical records and insurance negotiations using AI-enhanced tools and structured legal systems to eliminate bottlenecks and improve client outcomes. Qualifications
- Previous experience in personal injury law insurance defense or related field.
- Understanding of the injury claim process and familiarity with legal systems and terminology.
- Basic knowledge of medical records and their relevance to injury cases.
- Strong organizational skills for managing multiple case files documents and deadlines.
- Excellent verbal and written English communication skills.
- Ability to work independently make decisions and handle a diverse workload with minimal supervision.
- Proficiency in Clio Microsoft Office Suite (Word Outlook Excel) and Adobe Acrobat.
- Research and summarization skills.
- Experience maintaining regular communication using Slack Zoom and phone calls.
- Willingness to adapt and learn continuously.
- Prior experience with wrongful death cases considered an advantage.
Benefits
SMARTe Objectives (First 120 Days)
- Launch an organized Clio-driven case dashboard within 30 days to track the progress of all open cases.
- Maintain a 95% accuracy rate for all case documents demand letters and client records by week 6.
- Complete at least 10 demand letters independently following established legal formats by day 60.
- Achieve a successful settlement or negotiation progress on at least 5 cases per month by day 90.
- Implement a consistent medical records collection workflow using established vendor relationships by day 45.
- Identify and propose 2 process improvement opportunities to streamline case prioritization by day 90.
30/60/90 Milestones
30 Days:
- Launch a validated Clio dashboard and organize at least 15 open cases.
- Complete onboarding with all internal communication tools (Slack Ooma Zoom).
60 Days:
- Own full cycle of demand preparation and submission for at least 10 cases.
- Establish consistent communication processes with clients and insurance contacts.
90 Days:
- Present case closure or settlement data to stakeholders with clear evidence of outcomes.
- Lead a discussion on further optimizing document management and medical records retrieval.
