Job Description

Our client a highly rated and trusted business in Allen Texas is seeking a Bilingual AP/AR Specialist. As the Bilingual AP/AR Specialist you will primarily focus on managing Accounts Receivable and collections while also handling periodic Accounts Payable responsibilities. You will play an integral role in maintaining the financial health and efficiency of the organization.

Major Duties and Responsibilities:

Accounts Receivable and Collections

  • Post payments received via ACH mail and credit cards accurately and timely in QuickBooks.
  • Proactively manage collections by contacting clients with past-due balances through phone and email.
  • Resolve billing discrepancies promptly to maintain excellent customer relations.
  • Regularly update client payment records and ensure accuracy in QuickBooks and AirTable databases.
  • Encourage clients to utilize credit card payments for faster processing and improved cash flow management.

Accounts Payable Support

  • Assist with processing vendor invoices for payment ensuring timely approvals and accurate documentation.
  • Address and resolve any discrepancies in vendor billing in coordination with the Office Manager.

Financial Reporting and Reconciliation

  • Prepare and review monthly client statements for accuracy.
  • Perform monthly reconciliations of customer accounts and bank transactions.
  • Provide routine reports summarizing AR/AP activities to management.
  • Administrative and Additional Responsibilities
  • Maintain strict confidentiality handling sensitive financial information.
  • Coordinate with collection agencies as necessary providing accurate documentation and follow-ups.
  • Support payroll tasks as occasionally needed.
  • Assist with audits including Workers Compensation and financial review.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.

Position Type and Expected Work Hours

This is a full-time position. Days and hours of work are Monday through Friday 8:00 a.m. to 5 p.m. but may be flexible as agreed upon between executive management and employee. On call availability and periodic additional time including nights and weekends or as job duties demand.

Travel Requirements

Minimal local travel may be required occasionally.

Required Education and Experience

  • High school diploma or equivalent.
  • Two years of experience in collections and accounts receivable.
  • Bilingual proficiency in English and Spanish (required).

Preferred Education and Experience

  • Proficiency in using QuickBooks Online AirTable Microsoft Suite and Apple software.
  • Previous experience handling accounts payable tasks.

  • Excellent attention to detail and accuracy.
  • Effective communication skills both written and verbal.
  • Ability to handle sensitive and confidential information with integrity.
  • Strong problem-solving and decision-making abilities.
