Job Description

This is a remote position.

Our client is a fast-growing U.S.-based outpatient mental health organization with multiple clinics serving the North Richland Hills and Grapevine areas. Their team is passionate about delivering quality therapy and telehealth services and they do so with a strong focus on creativity authenticity humor compassion acceptance and determination.

To support their expanding operations they are looking for a Clinical Services Coordinator a remote-based Healthcare Virtual Assistant to provide administrative billing credentialing and intake support that ensures a seamless experience for both patients and providers.

Requirements

Responsibilities:

Credentialing & Contracting Support

  • Collect track and manage therapist documents for insurance payor applications

  • Coordinate with credentialing vendors for submissions updates and directory maintenance

Client Intake & Scheduling

  • Manage appointment scheduling cancellations and reschedules

  • Follow up on missed calls appointment requests and referral sources

  • Update therapist profiles and coordinate new client onboarding

  • Support psychiatric service scheduling as the clinic expands

Billing Coordination

  • Perform insurance verifications and address aging reports

  • Coordinate with billing partners to resolve claims and patient balances

  • Monitor and secure payment information

Marketing & Referral Support

  • Match referral data with new patient records for tracking and incentives

Therapist Admin Support

  • Assist with forms client messaging and intake documentation follow-ups

  • Send welcome emails and manage therapist-patient communication


The Ideal Candidate:

  • At least 2 years of experience in U.S. healthcare admin billing or credentialing

  • Solid understanding of HIPAA and behavioral health compliance

  • Experience using EHR systems (Valant preferred)

  • Excellent English communication and interpersonal skills

  • Tech-savvy and comfortable using multiple platforms

  • Proactive organized and able to manage multiple priorities independently

  • Analytical and responsive in fast-paced environments
