To provide administrative support to members of the Regulatory Affairs & QA department. Process organizational and administrative routine tasks for the entire RA & QA department
Responsibilities

- Written correspondence
- Independent management of written correspondence in Native language and English
- Creating presentations from templates in Native language and English - Meetings/travel activities
- Meetings support - Assist in organization of appointments invitations room bookings
catering document preparation & minute taking meeting follow up.
- Organizing business trips (travel and accommodation) and travel expense claims as
necessary
- Arranging course bookings/seminar registrations - Processing post/mail
- Management of incoming and outgoing post for the entire department
- Arranging dispatch of Regulatory Documentation to agency and other Affiliates as
required
- Sorting & distributing post scanning and emailing agencys documents for RA drive
- Filing Archiving Regulatory correspondence - Budget
- Supports the Head of Regulatory Affairs in all administrative matters related to budget
control
- Creating Purchase Request Orders and reporting goods reception
- Review/approval of invoices and documentation - Filing
- Assist with the preparation of regulatory submissions
- Translation of documentation in the Regulatory and QA areas as required
- Preparation of Status Reports and metrics
- Perform audits on AbbVie SmPCs on agency website and report any discrepancies after
a new approval is received - Promotional Materials
- Management of release certification and notification to Health Authority of all AbbVie
promotional materials
- Preparation of Status Reports Monthly Reports and Alert Reports - Donations
- Preparation of internal submission and approval process of donations - Pre-notification of events to Health Authorities
- Pre-notification of events to Health Authorities upon request of commercial department - Documentation of education and further training measures for the entire RA & QA
department.
- Managing the list of absences (holidays sickness and other absence records) of the RA
& QA department
- Acquiring office material
- Requesting all technical services (maintenance transport repairs etc.)
Deputy activities (Medical Affairs Assistant)
- Ensuring PPLS activities in QA Specialist absence - Ensuring qualitative and quantitative evaluation of clinical sessions (performed by MMs
and MSLs with preparation of quarterly metrics by the end of each quarter
- Administrative support to GPRS area by managing fee payment requests to lnfarmed
and CNPD
- Other administrative support as required
Qualifications :
Qualifications

- Computer skills - Microsoft Office Adobe professional ability to familiarize oneself with
new systems - Effective communication -written and verbal both Native and English language
