Description

Position Summary

Program Assistant provides administrative and game management support services to the athletic department. Assists with game management purchasing game day preparations and other aspects of the athletic department. Perform all functions and activities within the guidelines and philosophy set forth in the BMCC Vision Strategic Plan Northwest Athletic Conference (NWAC) and the National Intercollegiate Rodeo Association (NIRA).

Essential Functions

  • Assist with game day management for all at-home athletic events. Prepare setup and take down equipment to include video electronics and athletic field equipment.
  • Attend scheduled home athletic events and may serve as game day administrator on site.
  • Create and track purchase orders and travel reimbursements. Make cash deposits track receipts and reconcile Athletic Department credit cards monthly.
  • Provide administrative and general office support for all Athletics staff. Schedule meetings for department or other assigned related committees. Arrange and prepare meeting agendas and materials for meetings. Record proof and distribute meeting minutes and other related materials.
  • Assist with concessions areas in the McCrae Activity Center and at the athletic fields. Duties may include purchasing items inventory and budgeting.
  • Assist with the maintenance and updating of athletic related facilities to include indoor/outdoor and off-campus facilities.
  • Assist if needed with all materials and software programs as mandated by NWAC and NIRA to include student records and game management software. Includes supporting coaches for required stats and video for uploads to NWAC and NIRA.
  • Assist with all NIRA paperwork as well as Rodeo Team entries as required by the NIRA. Attend the annual BMCC regional rodeo.
  • Assist the director with all student athlete and student employment paperwork (i.e. immunizations physical forms insurance etc.)
  • Assist coaches with onboarding activities and requirements of new student athletes.
  • Process travel requests for the Athletic Department in accordance with procedures set forth by the College. This can include reserving BMCC vehicles coordinating with coaches charter companies and hotel reservations.
  • Prepare athletic team rosters prior to each sport season in accordance with NWAC and NIRA requirements.
  • Upload schedules photos and rosters to the NWAC website.
  • Assist with social media and athletics web pages.
  • Oversee the scheduling of the McCrae Activity Center exercise rooms practice times weight room official changing rooms and athletic fields for all home games and non-athletic events.
  • Responds to inquiries and concerns from participants parents and the public referring as necessary to appropriate parties.
  • Perform other duties as assigned.

Other Aspects of the position

  • Must be able to work a flexible schedule varying during sport seasons.
  • Some evening and weekend work will be required.
  • Travel required to attend athletic events or meetings as needed; valid drivers license required.

Qualifications

Knowledge Skills and Abilities

  • Ability to quickly and accurately type keyboard and use a variety of other office equipment efficiently and effectively with frequent interruptions.
  • Advanced knowledge of computer operations and the ability to operate Microsoft Office Products especially Publisher and Excel internet search engines Outlook e-mail and electronic calendar social media laptop Zoom etc.
  • Must have excellent record keeping and organizational skills.
  • Must be flexible and well organized able to prioritize projects meet deadlines and be able to work independently on multiple tasks simultaneously with minimal supervision.
  • Demonstrate professional public relations skills with ability to effectively meet and interact with the public and other staff and faculty within a variety of campus and other collegiate situations.
  • Excellent oral written and interpersonal communication skills.
  • Maintain a high level of confidentiality in regard to student records and departmental business.
  • Ability to sit for prolonged periods of time.

Required Education and Experience

  • High school diploma or equivalent.
  • Two (2) years background in working in Athletics or related field.
  • Two (2) years experience working in an office environment.

Preferred Education and Experience

  • Bachelors degree.
  • Previous experience working in a college and collegiate athletic department.
  • Bilingual (English/Spanish) skills and demonstration of cultural competency.
