About the role
The School of Graduate Research (SGR) is seeking a highly motivated Executive Officer to provide professional confidential executive support to the Associate Deputy Vice-Chancellor Research Training and Development (ADVC RTD) and the Director Research Training Services (DRTS).
In this dynamic and varied role you will support the delivery of strategic initiatives governance activities and knowledge management including secretariat responsibilities for key committees. Youll also coordinate projects manage communications and correspondence oversee diaries and scheduling arrange travel and assist with finance administration and reporting.
You will play a pivotal role in ensuring the effective day-to-day operations of the School managing office administration facilities and events and acting as a key liaison and escalation point for complex matters. The role involves regular engagement with senior leaders internal stakeholders and external partners and contributes to ongoing improvements in systems processes and service delivery.

To be successful in this position you will have:
Extensive experience and specialist expertise in providing high-level executive and administrative support within a university or similarly large and complex organisation.
Demonstrated experience in supporting project delivery and operational activities in complex environments including project administration communications action tracking report development and progressing issues to resolution.
Highly developed interpersonal verbal and written communication skills with a proven ability to draft high-quality correspondence and liaise effectively with internal and external stakeholders on complex sensitive and confidential matters.
Proven ability to manage competing priorities exercise sound judgment meet deadlines in high-pressure environments and maintain a strong attention to detail while working independently and collaboratively.
Demonstrated initiative and capability in researching and analysing issues and independently identifying and solving problems within broad guidelines.
Demonstrated capacity to build constructive working relationships and contribute effectively in a team environment including within matrix structures and across functional boundaries.
High level of computer literacy and experience with digital tools and systems including word processing presentation software (e.g. PowerPoint) email internet and electronic document management systems such as TRIM.
Proven ability to exercise discretion maintain confidentiality and respond flexibly and professionally in a dynamic environment with a high volume of work and shifting priorities.
