Job Duties
The Office Associate provides critical support to the Division of Administrative Operations (DAO) contributing to the development and drafting of policies and procedures based on research findings and alignment with agency goals. This role is responsible for preparing high-quality reports and summaries conducting policy and legislative research and maintaining organized documentation of sources and project data. The Office Associate plays an active role in stakeholder engagement by coordinating review sessions facilitating agency presentations and supporting staff understanding of compliance requirements. Additionally the position offers broad administrative supportmanaging calendars scheduling and preparing for meetings compiling presentation materials recording minutes and assisting with correspondence and reporting. This role requires strong communication and organizational skills a keen attention to detail and the ability to collaborate across departments while managing multiple projects efficiently.
Minimum Qualifications
Knowledge Skills and Abilities (KSAs):
Demonstrated ability to draft revise and implement policies and procedures within an organizational framework.
Proven research and analytical skills with the ability to interpret complex documents and synthesize findings into clear recommendations.
Strong written and verbal communication skills including experience producing professional correspondence reports and presentations.
High level of proficiency with Microsoft Office (Word Excel PowerPoint Outlook) and the ability to learn and use specialized office data analysis or research software.
Ability to manage multiple tasks simultaneously and work effectively both independently and in a collaborative team environment.
Capacity to work with internal and external stakeholders at all levels demonstrating professionalism discretion and tact.
Minimum Qualifications:
Experience in administrative support office coordination or operations in a professional setting.
Experience conducting research and contributing to the development or revision of policies procedures or operational documents.
Familiarity with or ability to quickly learn state agency processes administrative policies and compliance standards.
