About the Role
The Assistant Development will play a key role in shaping the success of the Museums fundraising activities. The Assistant supports both the Deputy Director & Chief Development Officer and the Director of Development Revenue & Strategy while assisting with the management of Board meetings and related activities.

The Assistant maintains the Deputy Directors schedule and organizes Board meetings inclusive of preparing meeting materials organizing notes and next steps tracking deadlines and balancing shifting priorities in a fast-paced setting. It is essential that the Assistant possess impeccable organizational skills and strong written and oral communication skills exercise discretion and tact demonstrate resourceful problem-solving and decision-making and thrive in an environment that is mission-driven results-driven and community-oriented.

In addition to ensuring that the Chief Development Officer is best prepared for meetings this role also plays a pivotal role in facilitating effective communication and coordination between the Brooklyn Museums Board of Trustees and Cabinet. This role involves ensuring that the boards activities meetings and decision-making processes are organized documented and aligned with the organizations goals and regulatory requirements.
Responsibilities
  • Manage the Deputy Directors calendar and meetings including anticipatory prep for internal and external meetings (compiling agendas and materials).
  • Prepare a daily schedule for the Deputy Director with meeting details and relevant materials particularly for meetings with external stakeholders.
  • Assist and support the Deputy Director during Museum events and meetings by coordinating and managing logistics as well as taking minutes where necessary.
  • Draft the Deputy Directors correspondence including cover emails thank you notes and internal memos.
  • Work in close partnership with the Director of Development Revenue & Strategy to ensure proper tracking for the departmental expenses budget including invoice processing and completing credit card reconciliation reports for the Deputy Director.
  • Proactively coordinate the Deputy Directors portfolio of donors and key stakeholders including an action and follow-up-oriented stance in moves management.
  • Make travel arrangements for the Deputy Director as needed.
  • Coordinate monthly Development team meetings including setting agendas coordinating invited guests and preparing presentations.
  • Interface with Museum Trustees donors and other key Museum stakeholders
  • Proactively schedule all Board of Trustees meetings and Board-related committee meetings at the direction of the Director of Board Relations and manage related tasks including ensuring quorum ensuring appropriate teams are creating meeting materials within our best practices timeline and distribution of meeting materials.
  • Maintain accurate organized and highly confidential records related to board activities decisions and historical documents.
  • Partner with the Director of Board Relations to collaborate with legal counsel to ensure board activities adhere to applicable regulations and best practices.
  • Record highly confidential meeting minutes for the Board of Trustees Executive Committee and Advancement and Advocacy Committee.
  • Liaise with other staff stakeholders in managing committee meeting materials including pre-read materials and minutes.
  • Be available (as requested) to work occasional evenings at Museum events with the opportunity to engage directly with Museum leadership donors and artists.
Qualifications
  • Bachelors degree and/or 35 years of related work experience
  • One year or more of professional experience in Development at a not-for-profit organization; knowledge of and interest in the visual arts and museum operations preferred.
  • Strong written and verbal communications that demonstrate clarity and professionalism.
  • Proficiency in MS Outlook Word Excel and PowerPoint; experience with databases particularly Tessitura preferred; familiarity with Microsoft Teams and Zoom is a plus.
  • Detail-orientation supreme organizational skills initiative and self-motivation.
  • Ability to proactively prioritize and manage time juggle multiple duties and tasks and meet deadlines.
  • Ability to anticipate problems ask questions seek solutions and effectively communicate them to the Deputy Director and Development staff.
  • Ability to exercise mature judgment and exceptional discretion with respect to confidential and/or sensitive information.
  • Ability to exercise independent judgment with respect to prioritization of and recommendations on appointments.
  • Professional demeanor unflagging team spirit and an orientation toward customer service
  • Collaborative style and ability to adapt and incorporate input across teams.
  • Ability to work on-site at the Brooklyn Museum four days a week and effectively work remotely one day a week with occasional evening and weekend events.
  • Appetite to learn and grow within the museum art nonprofit and social impact fields.
  • A passion for art culture and education is a plus.

Salary: $67742.69
FLSA status:Non-Exempt
Schedule:35 hours per week Monday through Friday 9 amto 5 pm; additional night and weekend hours are required during key events.
