Job Description

Job Summary

The Administrative Assistant provides administrative functions for Office of the Chief Information Officer (OCIO) IT Services and the Business Transformation Office.

This role serves as an integral support position to a large group of IT professionals and senior level executives and is the first point of contact for internal and external enquiries to the Office of the CIO.

The incumbent provides tier-2 level support for all UFV mobile accounts and liaises with the mobile provider on behalf of the employee to adjust charges and resolve issues. In addition the Assistant provides tier-2 level support for all incoming software and hardware inquires ensuring courteous timely and effective resolution of incidents and service requests.

Qualifications

  • Two (2) year diploma from a recognized post-secondary institution an equivalent combination of education and experience may be considered.

  • Three (3) years relevant experience preferably in a University setting.

  • Advanced knowledge of Microsoft Office Professional (Word Excel Outlook PowerPoint and Publisher) and Adobe Acrobat.

  • Exceptional interpersonal and written / oral communication skills.

  • Attention to detail in composing and editing materials prioritizing tasks monitoring schedules and meeting deadlines.

  • Excellent working knowledge of modern office practices and procedures.

  • Technical proficiency related to database management and the IT service portal.

  • Self-directed proactive and able to exercise discretion.

  • Familiar with public institution processes procedures and protocols.

  • Ability to remain calm under pressure maintain confidentiality work effectively in a team environment and to be highly resourceful and organized.
