This is a remote position.

Role Name: Administrative Assistant - Construction Industry

Schedule: Part-time (20 hours/week) Monday to Friday 10am to 2pm or 12pm to 4pm

Client Timezone: CST (Central Standard Time)

Job Description

This is an exceptional opportunity to become an integral part of a growing construction company s success story. As their Virtual Assistant you ll play a crucial role in supporting the CEO and leadership team by handling essential administrative operations that keep projects moving smoothly. You ll work with modern digital tools and systems manage multi-state project logistics and help coordinate everything from contract execution to crew travel arrangements. This role offers tremendous growth potential as the company scales with the opportunity to expand from part-time to full-time as new projects come online. You ll gain valuable experience in the construction industry while working with a team that values efficiency growth and innovation.


Responsibilities
  • Manage executive email communications and coordinate complex scheduling across multiple time zones
  • Organize and maintain digital file systems using Google Drive for seamless project documentation
  • Handle contract management and execution through DocuSign platform ensuring timely completion and proper filing
  • Source specialized construction materials and products from industry-specific manufacturers
  • Generate professional quotes using company estimation software with streamlined approval workflows
  • Execute strategic email marketing campaigns through MailChimp for business development
  • Complete vendor registration applications for major national clients and corporations
  • Prepare and redact sensitive client information from blueprints for subcontractor distribution
  • Coordinate comprehensive travel logistics including flights extended-stay accommodations and crew arrangements for multi-state commercial projects
  • Support various administrative initiatives that enable leadership to focus on business development and deal closing


Requirements
  • Proven experience as an administrative assistant with strong organizational skills
  • Project management background or solid understanding of project coordination processes
  • Proficiency with Google Drive DocuSign email management systems and ability to quickly learn new software platforms
  • Excellent English communication skills with experience supporting US-based companies
  • Ability to work during CST business hours with reliable internet connection
  • Detail-oriented professional comfortable handling confidential business information
  • Self-motivated individual who thrives in a growing fast-paced environment
  • Interest in the construction industry and willingness to learn industry-specific processes
