Setup and Location: WFH Setup
Work Schedule: 8:00 AM 5:00 PM (AEDT) 6:00 AM 3:00 PM (PH Time)
Employment Type: Full-time

We are a dynamic Australian marketing agency seeking an experienced Business Administration Specialist to join
our remote team. This role is perfect for a detail-oriented professional who thrives in a fast-paced environment and
wants to be an integral part of our operational success.

Key Responsibilities
Financial Administration (40% of role)
  • Process invoices and manage accounts receivable in Xero
  • Reconcile expenses and manage team expense submissions
  • Coordinate with the Australian bookkeeper on payroll and employee entitlement processing
  • Maintain accurate financial records and assist with monthly reporting
  • Monitor budgets and flag unusual transactions to management
  • Prepare weekly financial summaries for the leadership team
Human Resources Support (25% of role)
  • Maintain employee records and documentation in Employment Hero
  • Support onboarding and offboarding processes
  • Handle routine HR enquiries and correspondence
  • Assist with leave management and tracking
  • Manage our employee reward and recognition initiatives
  • Coordinate training program administration
Operations & Administration (35% of role)
  • Manage new contracts and people in our project management system
  • Administer business subscriptions and renewals
  • Coordinate travel bookings and logistics
  • Process contractor agreements and supplier documentation
  • Maintain equipment logs and coordinate warranties
  • Support project management and operational processes
  • Handle general administrative tasks and correspondence

Requirements

Essential Requirements
Technical Skills
  • Xero experience mandatory - minimum 2 years hands-on experience
  • Proficiency in Employment Hero or similar HR platforms
  • Advanced Excel/Google Sheets skills
  • Experience with Airtable or similar database systems
  • Understanding of Australian business practices
Professional Experience
  • Minimum 3 years of business administration experience
  • Experience supporting Australian or international clients
  • Background in finance/accounting administration
  • HR administration experience
  • Proven ability to manage multiple priorities simultaneously
Communication & Availability
  • Excellent English - both written and verbal (C1 level minimum)
  • Must work Australian Eastern Time (8:00 AM - 5:00 PM AEST/AEDT)
  • Reliable internet connection (minimum 25 Mbps)
  • Backup power supply and contingency plans
  • Professional home office setup
