Summary:

The VCU Department of Family Medicine and Population Health seeks a full time professional to serve as Assistant Director Medical Education. This position supports the Department of Family Medicine and Population Health and its medical education programs as well its academic mission to Improve the health and wellbeing of the people of Virginia and beyond. This position will have two key elements: 1) this position will both develop and direct student-specific educational programs and curricula helping students exploration of family medicine by working with family physicians across the Commonwealth of Virginia the department the medical school and state/national sponsoring academies and 2.) this position will provide administrative support for the Medical Education vice chair and the entire medical education team within the department.80% on-campus required with limited off-hours engagements (evenings and weekends).

Typical Duties

Positionresponsibilities include but are not limited to the following:

  • Serve as Co-director fmSTAT program: participate in the admission process student selection student and mentorship program planning content and logistics co-facilitate sessions determine student placements participate in donor stewardship summer research scholars projects and collaborate with school and university entities to support fmSTAT.
  • Coordinate fmConnect activities (Longitudinal outreach to students with a particular concentration on M3 and M4 students): Collaborate with the Office of Medical Education /Student Affairs and FM clinician advisors as department Champion to coordinate advising placements and guidance toward residency application. Issue proactive advising communications to students. Secure Acting Internships and electives for advisees. Plan and co-facilitate 2-3 group advising programs annually. Organize and participate in M4 mock interview experiences. Coordinate Family Medicine Transition to Residency sessions and Match Celebration; Elicit feedback regarding electives and programs.
  • Manage fmSTAT specific budget and provide team budgetary assistance to vice chair and Department Administrator as needed.
  • Manage departmental financial scholarship process: collaborate with Financial Aid personnel to determine award amounts. Distribute applications organize submissions facilitate award discussion and report recipient recommendations.
  • Assist with physician recruitment for preceptorships/clerkships/rotations:Solicit recommendations from program directors (new grads) established preceptors; emails Zoom in-person visits.
  • Facilitate data management and reporting to include match outcomes graduating and matriculating students.
  • Assist with research data research exploration and literature searches regarding School of Medicine Local and National Family Medicine and workforce priority outcomes and other topics related to medical education subjects as directed by the vice chair and chair.
  • Collaborate with team members to help prepare and finalize presentations and publications for research and educational scholarship(s).
  • Promote programs and conference opportunities among students residencies faculty and clinicians.
  • Develop and help provide faculty learning development activities for GME faculty development.
  • Respond to pre-medical shadowing and visiting student requests.
  • Support individual students and faculty: consultation letters of support/nomination address issues etc.
  • Serve as Co-Advisor for the Family Medicine student interest group to include working with student board state and national sponsoring organization regarding programming budget grant applications newsletter production and staff student events.
  • Serves as backup to Medical Education team colleagues as needed.
  • Other duties as requested by the vice chair or chair of the Department.
Qualifications

Preferred Qualifications

Demonstrated knowledge of leadership principles and practices
Superior interpersonal organizational communication skills.
Demonstrated experience in program development planning evaluation.
Demonstrated interest in educational research with students database development and research practices.
Familiarity with research platforms (experience with Qualtrix and REDCap a plus)
Demonstrated experience in social media platforms (Instagram Twitter GroupMe) and graphic platforms (e.g. Cava a plus).

Minimum Qualifications

Masters degree in an education or human services related field OR a Bachelors degree and 5 years of relevant professional experience in education training and experience.
Extensive experience in administrative support.
A service-oriented mindset.
Experience working in a medical school in higher education student affairs or an educationally related field.
Interest in educational research and utilizing data
Demonstrated budget experience.
Demonstrated office technology skills (Microsoft Word and Excel)
Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.
