Position Overview
The Executive Secretary I in the Training Development Bureau for the Division of Academy and Training is responsible for maintaining schedules for in-service training based on drafts provided by class coordinators. This position keeps accurate printed and/or electronic records of classes conducted instructor requests and confirmations and archival schedule copies. Duties include composing general correspondence and preparing responses to requests for information including FOIA requests and subpoenas. The Executive Secretary I also drafts routine correspondence to request instructor resources in support of the Academys mission. Additional responsibilities include receiving calls and relaying messages for the bureau chief and section supervisors answering phones greeting visitors taking messages and responding to inquiries regarding the Illinois State Police Academy and Training. Performs other duties as assigned or required as enumerated in the responsibilities above.

Essential Functions
- Drafts the Academy training schedules for Cadet training Recruit training In-service training Promotional School Instructor Development School etc.
- Utilizes independent judgement prepares and keyboards complex correspondence and memoranda fromhandwritten or oral communications.
- Initiates requests for instructor resources as needed to conduct Academy training by consulting an established list of instructors indexed by their respective subject matter expertise.
- Disseminates all correspondence/memoranda to appropriate personnel determines those receiving copies and determines locality of those officers/clients; provides input to the bureau chief and other staff members.
- Serves as a backup receptionist for the Academy Lobby.
- Performs other duties as assigned or required as enumerated in the duties above.
Minimum Qualifications
- Requires knowledge skill and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience; or completion of high school and three years of secretarial experience.
- Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Prefers two (2) years of working knowledge of agency programs rules and regulations.
- Prefers two (2) years of extensive knowledge of manual and automated office equipment.
- Prefers two (2) years of extensive knowledge of composition grammar spelling and punctuation.
- Prefers two (2) years of thorough knowledge of principles of office management.
- Prefers two (2) years extensive knowledge of computer program applications.
- Prefers two (2) years of thorough knowledge of automated office equipment and arithmetic computations.
