The Shipping Clerk position is responsible for assisting the Shipping Specialist in preparing all the required documents associated with the shipments of both small shipments as well as dedicated truckloads communicating between departments internally customers trucking companies and drivers. This position reports to the Shipping and Receiving Manager. Qualifications - Dedication to excellence and a quality output
- High-school diploma or equivalent
- Two-year minimum experience in the shipping industry
- Proficient in Microsoft Office programs
- Excellent written and oral communication
Responsibilities - Promote excellence throughout the department
- Maintain shipping records
- Prepare daily shipping report and email it out (error free)
- Prints parts orders throughout the day to maintain a steady flow of work for the packers and the shipping office personnel
- Prepare for upcoming jobs being shipped
- Review 28-day schedule for new jobs coming up
- Print out acknowledgement and shipping notes for said job
- Create a folder for all documents pertaining to the job
- Pull prints from True View in order to create a packing list
- Create a packing list

- When a job is finished and packaged
- Determine whether or not a shipping detail is required to ensure that all ship loose items are listed on the packing list
- If ship loose items need to be listed edit the packing list and make sure the new copy makes it to all pieces of the job
- Prepare a freight quote and present it to customer
- Once approved prepare appropriate shipping documents
- Prepare BOL and any other required documents
- Schedule the pick-up
- If a job or parts order is shipping out of the country
- Prepare all export documents needed (the required documents depend on the destination)
- Sometimes export documents need to be sent ahead of the job or order via fax or email.
- UPS (parts orders)
- Use Visual to find the value of the order (needed for insurance)
- Prepare shipping labels
- Record the tracking number and cost of shipment
- Truck (parts orders)
- Determine the weights and classes of all pieces and the NMFC
- Use handful of selected carriers to get freight quotes
- If the order is already okd for prepaid and add to invoice secure the shipment
- Create BOL and any documentation (for exports)
- Schedule the pick-up
- Communication
- Make sure to write all information pertaining to a job in the job folder on the note page so that there is no question as to where we are in the process of getting a job out
- Strive to ensure the safest most efficient method of shipment while keeping costs low
